Role Description
We are seeking two Front Desk Conciergesto to serve as the first point of contact for patients across all stages of care, including consultations, surgical visits, post‑operative appointments, and virtual consultations. This role is essential to maintaining a calm, professional, and elevated patient experience within a combined office and surgery center environment.
Key Responsibilities
Patient Experience & Front Desk Operations
- Perform opening and closing duties with consistency and attention to detail
- Greet patients and visitors with warmth, professionalism, and discretion
- Manage patient check‑in and check‑out for consultations, surgery days, post‑operative visits, and follow‑up appointments
- Maintain a calm, polished front‑of‑house environment at all times
- Ensure all required patient forms, surgical paperwork, and consent forms are completed and properly signed prior to services
- Review documentation for completeness before patients are roomed
- Prepare patients and doctor for virtual consultations, including intake completion and coordination with staff
- Room patients as needed and assist with patient flow throughout the day
- Uphold patient privacy and confidentiality in strict compliance with HIPAA
- Communicate clearly with clinical, surgical, and administrative teams to ensure smooth daily operations
Phone & Communication Management
- Answer incoming calls promptly with excellent phone etiquette
- Route calls appropriately and handle inquiries with clarity and professionalism
- Schedule, confirm, and coordinate appointments across consultations, surgery, and post‑operative care
- Communicate arrival times, pre‑visit requirements, forms, and general office policies clearly to patients
Admin Support
- Maintain accurate patient records and documentation
- Assist with administrative and front‑office tasks supporting clinic and surgery center operations
- Keep the front desk and reception areas organized, presentable, and aligned with brand standards
Qualifications
- Prior experience in a plastic surgery practice, medical office, surgery center, medspa, or concierge healthcare setting is preferred
- Demonstrates strong judgment, sound decision‑making, and the ability to learn and adapt quickly
- Strong communication and interpersonal skills with a polished, professional demeanor
- Excellent attention to detail and organizational skills
- Ability to multitask and remain composed in a fast‑paced clinical and surgical environment
- Proficiency with scheduling systems and office software
- Comfortable interacting with a high‑end, discerning patient population
- Basic familiarity with medical and surgical terminology is a plus
- Basic familiarity with facial plastics is a plus
- Experience with Symplast and/or Aesthetic Record is a plus
- Reliable, discreet, and team‑oriented
