Job Summary

Vlasac & Cassidy, LLC is a busy growing law firm specializing in personal injury, workers compensation, and employment law. We are currently seeking a Front Desk Receptionist / Legal Assistant in Hamilton, New Jersey. This is an ON-SITE position. We are looking for a mature, confident team member to be the first point of contact for our clients. We are a collaborative, welcoming, and positive team who cares about one another and our clients. Responsibilities
  1. Handling incoming calls with an excellent phone manner and skills to ensure all calls are answered promptly and handled professionally. Must be able to empathize with callers in challenging or personal situations.
  2. Greeting and directing guests/clients and attorneys, forwarding calls, and taking messages.
  3. Talking to potential clients to identify their legal needs and screening out unqualified leads.
  4. Scheduling consultations for new potential clients and following up before and after initial consultations.
  5. Ensuring the firm calendar is current with all scheduled consultations and events.
  6. Completing the engagement process by sending retainer agreements, requests for retainer payments and documents, and following up if not received.
  7. Opening digital and paper files.
  8. Performing administrative work related to personal injury, workers compensation, and employment law cases, including billing, medical records processing, and calls on behalf of attorneys and clients.
  9. Performing other administrative tasks like copying, scanning, filing, and correspondence.
  10. Creating, organizing, and maintaining digital and paper files.
  11. Understanding and communicating our firm’s legal services effectively, including creating original content for social media platforms such as Facebook, LinkedIn, Instagram, and Twitter.
  12. Managing posting schedules and ensuring content is timely, relevant, and aligned with our law firm’s voice and values.
Qualifications

Experience and Skills Required:

  • Prior legal and/or receptionist experience is preferred but not required.
  • Bilingual in English and Spanish is a plus.
  • Proficiency with office applications (Word, Outlook, Excel) and willingness to learn our case management and billing software. Excellent spelling and grammar are essential.
  • Ability to create substantive, meaningful social media posts across platforms.
  • Strong interpersonal and communication skills, positive attitude, and collaborative work ethic.
  • High School Diploma required; Associate’s Degree or higher preferred.
