Position: Receptionist

As the face of our stores, Receptionists are responsible for greeting and welcoming customers in a friendly manner as soon as they arrive at the store. They keep organized patient records and help patient schedules flow smoothly. They’re the glue to our operations, helping everyone to stay on track. The role provides prompt, courteous service to customers either on the phone or in person.

Responsibilities – The Specifics:
  1. Ensure high quality customer service while following all safety protocols.
  2. Ensure a smooth flow of customers through the store.
  3. Answer, screen, and forward incoming phone calls in accordance with National Vision protocols.
  4. Process and understand managed care plans and obtain necessary documentation from insurance companies.
  5. Provide customers with basic and accurate information.
  6. Schedule and confirm appointments, follow-up visits, and classes.
  7. File all patient records daily and prepare files for the next day's appointments.
  8. Check order status and notify customers of arrivals or delays.
  9. Maintain a tidy and presentable reception area with all necessary materials.
  10. Receive, sort, and distribute mail/deliveries; maintain inventory of office supplies.
  11. Participate in mandatory communication meetings.
Ideal Candidate – The Suitable Talent:
  • Fluent in reading and speaking both English and Spanish.
  • Experience as a Receptionist, Front Office Representative, or similar role preferred but not required.
  • 0-2 years of related experience or training preferred.
  • Experience handling multiple phone lines preferred.
  • Strong organizational skills required.
