The receptionist will greet patients, activate, and create patient files, move patients through a predetermined schedule of appointments at Modern Med. The receptionist will answer inquiries and provide information to the public, customers, visitors, and other interested parties regarding activities conducted at establishment and location of departments, offices, and employees within the organization.
Essential Duties and Responsibilities
The essential functions of the Receptionist job include, but are not limited to the following:
- Serves Modern Med clients by greeting, welcoming, and directing them appropriately. Checking clients in and out using Aesthetic Record and notifying appropriate providers.
- Entering clients’ reward points in various rewards systems and assisting the client with signing up for reward programs.
- Scheduling appointments and maintaining the appointment calendar of all providers at Modern Med.
- Answering, screening, and forwarding phone calls at Modern Med. Receiving and sorting of mail and packages. Putting packages and refrigerated medications away in dedicated places.
- Organizing and packaging orders for clients. Creates shipping labels and schedules pick-ups for packages using the various shipping systems.
- Maintaining security systems while at Modern Med including arriving, during the workday, and the end of the day.
- Ordering of supplies and communicating on supplies needed at Modern Med.
- Keeping the office secure by following protocols, monitoring logbooks, and following Modern Med policies.
- Contributing to the team by accomplishing tasks as needed at Modern Med.
- Be familiar with the skin care products sold at Modern Med. Educate clients about Medical Grade skin care that best suits their needs. All Modern Med clients will be educated on skin care and what to expect post procedure and service.
- Handling monies and tips for the business and providers. Logs and deposits monies in appropriate logbooks and safe.
- Assisting with anything that needs to be done in the clinic. This may include, but is not limited to, cleaning, assisting other Modern Med employees, customer service tasks, scheduling, checking out, helping with the phone, training, etc.
Knowledge
- High school graduate or equivalent required.
- Graduate of a certified medical office training course preferred.
- Administrative - Knowledge of administrative and office procedures and systems such as word processing, managing files and records, and workplace terminology.
- Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Computers and Electronics - Knowledge of circuit boards, processors, chips, electronic equipment, and computer hardware and software, including applications and programming.

- Instructing- Teaching others how to do something including precepting new employees.
- Time Management- Managing one(s) own time and the time of others including provider schedules.
- Communication - Types and frequency of interactions with other people that are required as part of this job.
- Body Positioning - Amount of time the worker will spend in a variety of physical positions on this job.
- Work Attire - Dress requirements of this job.
Abilities
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 25 pounds at times.
- Must be familiar with desktop computers.
