We are seeking a highly motivated and client-oriented individual to join our Client Services Team as a Front Desk Receptionist. In this role, you will be responsible for providing exceptional customer service to our clients, fulfilling receptionist duties such as welcoming visitors in person & by phone, maintaining telecommunication systems, data entry in contact management system, appointment reminder calls as well as assisting with administrative tasks, and supporting the overall operations of our practice. Our Receptionists play a crucial role in ensuring client satisfaction, maintaining client relationships, and facilitating the smooth functioning of our practice.
Responsibilities
Client Service Management:
- Serve as the initial point of contact for clients, addressing their inquiries, concerns, and requests promptly and professionally.
- Directs visitors by maintaining employee and department directories; giving instructions.
- ·Maintains safe and clean reception area by complying with procedures, rules, and regulations.
- Coordinate client meetings, prepare meeting materials, and assist advisors in delivering comprehensive financial plans and investment strategies.
Account Administration and Support
- Process necessary paperwork, and ensure compliance with regulatory requirements.
- Assist clients with account maintenance tasks, account updates, and asset transfer requests.
- Collaborate with internal teams to ensure accurate and timely execution of client requests and transactions.
- Maintain client records, update databases, and generate reports as needed.
Operational Efficiency
- Support the operational functions of our wealth management practice, including document management, filing, and organization.
- Contribute to the development and implementation of streamlined processes and procedures to enhance operational efficiency.
- Stay up to date with industry trends, regulatory changes, and best practices to ensure compliance and deliver exceptional service.
Client Communication and Education
- Prepare and distribute regular client communications, such as market updates, investment performance reports, and newsletters.
- Assist in organizing and hosting client events, seminars, and webinars to educate clients on financial planning and investment strategies.
- Proactively share relevant financial news, insights, and educational resources with clients to foster engagement and deepen relationships.
- Collaborate with advisors, portfolio managers, and other team members to deliver integrated wealth management solutions to clients.
- Participate in team meetings, contribute ideas, and support colleagues in achieving practice goals.
- Build strong relationships with internal stakeholders to ensure effective cross-functional collaboration.

Qualifications and Requirements
- Bachelor or Associates degree preferred; completed college coursework in conjunction with work experience will also be considered
- 2- 3 years industry experience is preferred
- Opportunity to obtain FINRA licenses to include but not limited to Series 7, 66, and/or 63 to support professional growth if desired
- Strong client service skills, first-hand experience interacting directly with customers; a genuine interest in serving and caring for our clients
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks and prioritize effectively.
- Proficiency in using financial software and tools, as well as MS Office suite.
- Knowledge of financial markets, investment products, and wealth management concepts is preferred
- Familiarity with regulatory compliance and industry best practices.
- Ability to work both independently and collaboratively within a team-oriented environment.
- High ethical standards and commitment to maintaining client confidentiality.
- Background check and fingerprinting are required by Law
