As the Front Desk Receptionist, you’ll be the face of our Houston office and our “Director of First Impressions.” You’ll create a warm, welcoming, and professional experience for every client, visitor, employee, and caller while ensuring the front desk and reception area consistently reflect the Partners brand.
We're looking for someone who is personable, polished, organized, and dependable, with strong communication skills and a natural customer-service mindset. As a Culture Champ, you’ll take initiative, anticipate needs, keep the front desk running smoothly, and provide light administrative and hospitality support to staff and management.
How You'll Make an Impact (Key Responsibilities):
Front Desk & Reception
- Front Desk Coverage: Greet all clients, visitors, and staff in a prompt, friendly, and professional manner; serve as the first point of contact for the office; ensure seamless front-desk coverage during breaks.
- Phone Management: Answer, screen, and route incoming calls; assist callers and potential clients in reaching the appropriate broker or team member; take and relay messages accurately.
- Visitor Support: Sign in guests, notify hosts of arrivals, offer refreshments, and ensure visitors are comfortable while they wait.
- Digital Navigation: Maintain a desktop "favorites" guide (including the Partners Real Estate listings page) to quickly assist visitors and callers.
- Lobby Presentation: Keep the lobby and reception area organized, welcoming, and polished throughout the day.
Meeting & Hospitality Support
- Conference Room Scheduling: Manage conference room calendars and reservations; help coordinate room availability for meetings.
- Meeting Room Readiness: Ensure conference rooms are tidy and stocked between meetings; wipe down surfaces and raise blinds if lowered during sessions.
- Refreshments: Keep the coffee bar and reception refreshments stocked and presentable; assist with setup and cleanup for meetings and catered lunches.
Mail & Administrative Support
- Mail Operations: Handle daily mail retrieval, sorting, stamping, and distribution, including the scheduled afternoon mail pickup and drop-off.
- Supply Restocking: Monitor and restock front-desk and printer-area supplies (paper, pens, desk supplies); notify the Office Manager when reordering is needed.
- Printer Stations: Check printer stations twice daily (AM/PM) to clear abandoned papers and keep the area organized.
- Badge & Parking Support: Assist new hires with badge access and parking forms.
- General Support: Provide administrative support to staff and departments such as Marketing, Research, and HR as needed.
Culture & Employee Experience
- Serve as a Culture Champ, positively representing the company and creating a welcoming experience for employees, brokers, clients, and visitors.
- Support new hire onboarding, including badges, business cards, welcome materials, and greetings.
- Assist with company celebrations and employee recognition initiatives, including golf tournaments, gong celebrations, awards, and other special events.
- Partner with the HR Leader and Office Manager to coordinate social events and employee engagement activities.
What You'll Bring (Must-Have Qualifications):
- High School Diploma or equivalent required; Associate’s or Bachelor’s degree (preferred).
- Minimum 1 year of experience as a receptionist, front desk associate, or in a similar customer-facing administrative role.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- High-energy, self-disciplined, and proactive, with the initiative to work effectively with minimal supervision.
- Strong verbal and written communication skills, with the ability to interact professionally and courteously with co-workers and clients.
- Ability to prioritize tasks and manage multiple requests effectively in a fast-paced environment.
- Ability to work effectively both independently and as part of a team.
- Strong customer service orientation with a welcoming, professional demeanor; dependable and punctual.
- Ability to occasionally lift or move boxes.
