Job Summary
The Front Desk Manager is the first point of contact for clients and their dogs, and the operational hub connecting every department of the business — daycare, boarding, grooming, overnight care, and enrichment activities (walks, hikes, and agility play). This role oversees front‑of‑house operations, manages scheduling and check‑in/check‑out across all services, leads the front desk team, and ensures every client interaction reflects a safe, organized, and welcoming facility. The ideal candidate is a highly organized multitasker with strong customer service instincts, comfort around dogs of all sizes and temperaments, and the ability to keep a fast‑paced front desk running smoothly.
Key Responsibilities
- Client & Front Desk Operations: Greet clients and dogs warmly at check‑in and check‑out; manage phone, email, and walk‑in inquiries; process payments, packages, and memberships; maintain accurate client and pet records (vaccinations, behavior notes, feeding/medication instructions).
- Scheduling & Coordination: Manage the daily schedule across all departments — daycare attendance, boarding and overnight reservations, grooming appointments, and enrichment add‑ons (walks, hikes, agility sessions) — ensuring accurate headcounts and staff‑to‑dog ratios are communicated to each department.
- Department Liaison: Serve as the communication link between clients and the daycare, boarding, grooming, and enrichment teams; relay special instructions, incident reports, or schedule changes promptly and accurately.
- Team Leadership: Hire, train, schedule, and supervise front desk staff; set performance expectations and provide coaching; create and maintain front desk procedures and checklists.
- Sales & Retention: Upsell services such as grooming add‑ons, boarding packages, and enrichment activities; follow up on new client leads and tours; support marketing and retention initiatives.
- Facility & Safety Oversight: Monitor lobby and front‑of‑house cleanliness and organization; ensure required documentation (vaccine records, waivers, agreements) is complete and current before dogs are admitted; follow emergency and incident‑reporting protocols.
- Administrative Support: Reconcile daily sales and payments; manage software/booking system data entry; assist ownership with reporting, inventory of retail and supply items, and vendor coordination as needed.
- Monitor stock and order office supplies, grooming supplies, and cleaning supplies to maintain operational readiness.
- Handle complaints and specific customer requests, ensuring timely and accurate resolution.
- Ensure company’s policies and security requirements are met.
Qualifications
- 1+ years of experience in a customer‑facing role; supervisory or management experience preferred.
- Genuine comfort and confidence working around dogs of all breeds, sizes, and energy levels.
- Strong organizational skills and ability to manage multiple schedules and priorities simultaneously.
- Excellent verbal and written communication skills; calm and professional under pressure.
- Proficiency with scheduling/POS software (e.g., Gingr, PetExec, or similar) or ability to learn quickly.
- Experience in pet care, veterinary, grooming, or hospitality industries is a plus.
- High school diploma or equivalent required.
- Hands‑on experience with office machines and proficiency in English (oral and written).
- Knowledge of G‑suite, Google for Work, and PetExec is a plus.
- Problem‑solving skills and high organizational and multitasking abilities.
- Good communication and people skills.
Physical Requirements
- Ability to stand, walk, and be on your feet for extended periods.
- Ability to lift up to 30 lbs (dog food, supplies, or assisting with a dog as needed).
- Comfortable being in close proximity to dogs, including large or excitable dogs, throughout the shift.
Schedule
Full-time, on‑site. Requires flexibility to work some early mornings, evenings, weekends, and holidays based on business needs, including boarding and overnight check‑in/check‑out times.
Compensation & Benefits
- Pay: $25/hr
