The Role
The Front Desk Coordinator is responsible for the day‑to‑day front‑of‑house operations and the in‑office experience for the NYC office. The Coordinator serves as the first point of contact for employees, candidates, clients, vendors, and visitors, ensuring a welcoming, organized, and well‑maintained workplace. Working closely with the Workplace Lead, the Coordinator supports office operations, facilities coordination, employee experience initiatives, and workplace events to help deliver a seamless in‑office experience.
Reception & Hospitality
- Manage front desk and reception coverage during core business hours.
- Welcome employees, candidates, clients, vendors, and visitors, creating a professional and positive first impression.
- Coordinate visitor registration, check‑in, and building security procedures.
- Serve as the primary on‑site point of contact for employees, visitors, vendors, and deliveries.
- Manage office access badges in coordination with building management.
- Coordinate conference room reservations and help ensure meeting spaces are prepared for meetings, interviews, and events.
Office Operations & Facilities Support
- Conduct daily office walkthroughs to identify workplace needs and help ensure the office remains clean, organized, and guest‑ready.
- Partner with the building porter to help maintain kitchens, pantries, restrooms, copy areas, and common spaces by replenishing supplies and monitoring workplace standards.
- Coordinate incoming and outgoing mail, packages, and shipments while maintaining organized mailroom operations.
- Support the submission and coordination of routine building service requests, vendor access, and facility maintenance requests in partnership with the Workplace Lead.
- Coordinate with building management and vendors to support day‑to‑day office operations.
- Support general office upkeep by resetting shared spaces and helping maintain an organized workplace environment.
Employee Experience & Events
- Support office events, board meetings, employee engagement activities, and workplace programming.
- Assist with employee gifting programs, milestone celebrations, and workplace swag inventory.
- Distribute workplace communications, office updates, and employee announcements.
- Support employee‑facing workplace services and other administrative requests as needed.
Collaboration & Administrative Support
- Support the Workplace Lead with workplace initiatives, office projects, and company‑wide events.
- Assist with ad hoc workplace projects and cross‑functional requests while aligning priorities with the Workplace Lead.
