Job summary

2Life Communities in Newton Highlands, MA, is seeking per diem Front Desk Ambassadors for weekends and holidays, with occasional weekday mornings. You will greet residents and visitors, answer phones, and help create a welcoming, respectful environment across our campus.

If you are organized, comfortable with a diverse older-adult population, and proficient with Microsoft Office, you’ll support the Executive Director, manage packages, and maintain filing systems and databases for guests,

Responsibilities

  • Provide a welcoming and supportive atmosphere for residents, guests, and visitors entering 2Life and act as an effective liaison for all those seeking to access information and services.
  • Provide administrative and clerical support for the Executive Director and data-based assignments for other departments negotiated through the Executive Director.
  • Provide general reception services by answering the telephone and greeting visitors positively, courteously, and respectfully.
  • Handle all incoming packages and the process for noting package arrivals, including contacting tenants to notify them that a package/mail has arrived for them and is picked up from the lobby area promptly.
  • Maintain inventory of office supplies, including coffee and other refreshment supplies—track and order supplies as necessary.
  • Provide general administrative support, including but not limited to data entry, documentation, printing, photocopying, faxing, scanning, distributing notices, and filing.
  • Maintain a proper and user-friendly filing and document control system for recording and tracking all documents relevant to the operation of the front desk.
  • Create and maintain valuable databases for future tracking of guests, providers, and collaterals who work with and support 2Life.

Within the year, Opus Newton—a groundbreaking model of community for older adults who fall in between qualifying for subsidized housing and being able to afford the very high-end market offerings. Set on the JCC Campus in Newton and physically connected to 2Life Community’s Coleman House, Opus Newton will be an inclusive, welcoming community. A defining, unique element is the focus on volunteering as a community-building tool. All Opus residents agree to volunteer at least 10 hours/month. In addition, there are beautifully landscaped terraces with a cafe, cultural arts and learning spaces, fitness areas, patios, and gardens. Walking trails will link our campus to the JCC, Newton Community Farm, and Nahanton Park.

We are seeking per diem candidates with availability on weekends and/or holidays, including evenings. There may also be opportunities for occasional weekday (Monday–Friday) morning shifts as hours become available.

GENERAL SUMMARY:

The Front Desk Ambassador (FDA) provides general reception services and office support by greeting and assisting visitors and answering the phone. The FDA handles incoming and outgoing communications and ambassadors for 2Life Communities tenants and staff. The FDA is warm and friendly, efficient, and comfortable being a team member, and can multitask. The ideal candidate for this job is resourceful, a good problem solver, and organized.

PREPARATION, KNOWLEDGE, SKILLS & ABILITIES:
  • Excellent communication skills.
  • Comfortable with a diverse population of older adults in a residential setting; previous experience preferred.
  • Experience with Microsoft Office Suite and general computer proficiency.
  • Fluent in English.
