Position Purpose
Perform duties in a courteous, professional, and efficient manner, focusing primarily on guest needs. Responsibilities include greeting guests, assisting with check‑in and check‑out procedures, handling phone inquiries, providing general information, arranging transportation for guests, and operating shuttle services to deliver passengers safely and efficiently while delivering exceptional customer service.
Essential Responsibilities
- Greet and welcome all guests upon arrival and according to company standards.
- Execute the registration and checkout process at the front desk.
- Accept payment for guests’ accounts at registration and checkout, maintain a house bank, make deposits, and prepare accurate receipt reports daily.
- Handle cash transactions accurately and balance a cash drawer to the specified amount.
- Acknowledge rewards members and returning guests.
- Take and manage guest bookings, upsell opportunities, and provide information to improve their stay.
- Review current day’s arrival reports; ensure special requests, VIPs, billing, deposits, and room assignments are correct.
- Attend all scheduled training, departmental and hotel meetings.
- Maintain awareness of special promotions, daily activities, arriving VIPs, groups and conferences, and scheduled shuttles.
- Practice safe work habits and ensure safe work practices to avoid injury to self and others.
- Ensure privacy and security protocols and company procedures are followed.
- Answer all calls promptly and correctly transfer calls to appropriate departments.
- Coordinate with other departments to meet guest needs; log all requests and defects in the appropriate system and follow up to ensure resolution.
- Answer inquiries about hotel policies, services, registration, shopping, dining, entertainment, and travel directions.
- Maintain an extensive knowledge of the hotel’s services, facilities, and local attractions.
- Maintain lobby cleanliness and organization.
- Assist with booking reservations and handle mail, packages, facsimiles, and guest items.
- Provide accurate directions to businesses and attractions.
- Assist with loading and unloading passengers and belongings; keep shuttle stocked with maps and guides.
- Ensure shuttle runs are not overbooked and confirmations of schedules, van capacity, and time limits are verbally confirmed with guests.
- Maintain continuous communication with hotels regarding shuttle status.
- Ensure shuttles are clean and gas tanks are full at the end of each shift.
- Maintain van maintenance log and checklists daily.
- Perform all other duties assigned by manager or supervisor.
Supportive Functions
- Assist with any guest inquiry.
- Follow all company safety and security policies and procedures.
- Report maintenance problems, safety hazards, accidents, or injuries.
- Perform other reasonable job duties as requested by direct and indirect supervisors.
Physical Demands
- Stand, walk, and exert moderate mobility for up to four hours.
- Lift and move up to 45 lbs.; push and pull carts and equipment weighing up to 250 lbs.
- Perform repetitive motions, bending, climbing, and reach tasks.
- Operate office equipment such as computers, printers, 10‑key adding machines, phones, filing cabinets, and fax machines.
- Maintain visual acuity and hearing for continuous communication.
Job Knowledge, Skills and Abilities
- Speak, read, write, and understand the primary workplace language.
- Excellent verbal, written, and electronic communication skills.
- Strong customer relations and issue‑resolution skills with attention to detail.
- Knowledge of basic Windows OS, MS Office, PMS, PBX, key system, and POS.
- Self‑driven and able to work independently.
- Detail oriented with outstanding organizational and communication skills.
- Basic computer and computational ability.
- Effective dealing with internal and external customers, displaying patience, tact, and diplomacy.
- Valid driver’s license meeting the company’s insurance requirements for motorized or electric vehicles.
Education and Experience
- High school or equivalent education required.
- 2+ years of guest service and shuttle driving experience preferred.
- Hospitality industry experience preferred.
Licenses, Certifications, Age and Driving Requirements
- Must have a valid driver’s license and meet the company’s insurance requirements.
- At least 25 years old to operate a shuttle; at least 21 years old to operate own or company vehicles other than a shuttle.
- Minimum 3 years of full‑time verifiable experience operating similar vehicles.
- No more than two moving traffic violations in the previous 36 months.
- No DUI conviction in the past five years for a commercial or personal vehicle.
- No driving under the influence, reckless driving, or related serious offenses in the past 36 months.
Additional Requirements
- Maintain a neat, clean, and well‑groomed appearance per company standards.
- Adhere to regular attendance and punctuality expectations; irregular attendance may result in disciplinary action, up to termination.
- Participate in all scheduled training sessions and meetings.
- All staff must comply with company rules and regulations for the safe operation of all facilities.
