Job description

Highly Prestigious Investment Firm based in Palo Alto is seeking to hire a poised and professional Receptionist to join their astounding team! In this role, you will be the face of the office, greeting and directing guests, while providing the highest level of administrative service. This is a unique opportunity for an outgoing and warm individual to work with a well-known firm and ease into the Financial industry!

This role will be 5-days/week in the office.

In this role you will:
  1. Provide phone coverage for the office and direct calls to appropriate parties in an efficient and professional manner.
  2. Coordinate and ensure neat appearance of reception area and conference rooms.
  3. Manage meeting room calendars and set up conference room Zooms and dial-ins for meetings.
  4. Serve as point of contact for vendors; arrange and coordinate food and beverages for meetings as requested by staff.
  5. Organize workrooms, maintain, and order office supplies.
  6. Receive and send packages along with sort and distribute mail.
  7. Monitor office frequently throughout the day to ensure everything is in working order.
  8. Assist with planning and coordinating the office events.
  9. Provide assistance for the Administrative team when needed including travel, calendar, and emails.
  10. Assist with other tasks and projects as needed.
We are looking for a candidate who has:
  1. Excellent verbal and written communication skills.
  2. Prior experience in a corporate setting desired.
  3. Strong organizational skills and attention to detail.
  4. An ability to provide the utmost in customer service to guests and internal clients.
  5. A “can-do” attitude and is willing to pick up tasks as needed.
  6. The ability to handle confidential and sensitive information with professionalism.
  7. College degree required.
