Position: Receptionist/Administrative Assistant
Responsibilities:
- Welcome visitors, clients, and staff in a friendly, positive manner.
- Notify staff when appointments arrive and escort guests to appropriate rooms.
- Answer multi-line phones professionally and enthusiastically; direct calls appropriately.
- Answer routine questions about services, policies, and directions.
- Notify management immediately of customer service issues.
- Receive and route incoming mail and packages.
- Manage emails and faxes received at the front desk.
- Maintain a neat and professional reception area.
- Order, receive, and organize office supplies.
- Ensure the kitchen is stocked with supplies.
- Assist with setting up luncheons and company parties.
- Mail insurance renewal applications, track responses, and upload documents.
- Assist with billing, including generating invoices.
- Perform other administrative duties as required.
Experience:
- At least two years of general office, receptionist, billing, or administrative support experience preferred.
- Experience in the insurance industry is a plus.
- Proficient in operating multi-line telephones, scanners, copiers, and MS Office software.
Knowledge, Skills, and Abilities:
- Proficiency with MS Office (O365) Suite – Word, Excel, SharePoint.
- Knowledge of AMS360 preferred.
- Clear and professional speaking voice and tone.
- Professional interpersonal skills to handle sensitive and confidential situations.
- Poise, tact, and diplomacy.
- Punctuality and excellent attendance record.
