Job summary

Encore Community Services in Midtown Manhattan seeks a Friendly Visiting Assistant Coordinator to support the Friendly Visiting Program. The role coordinates volunteers, connects seniors to referrals, and maintains funding compliance through documentation and reporting.

The position is full-time, hybrid (onsite in Manhattan with some work-from-home days) and pays a salary in the mid-50k range. Requires a bachelor’s in human services and nonprofit experience, with bilingual Spanish preferred.

Qualifications

  • Bachelor’s degree in Human Services or related field.
  • One year of non-profit experience, preferably with the elderly population.
  • Bilingual, Spanish preferred.
  • Excellent communication and organizational skills (written and oral).
  • Proficiency in computers, as well as programs such as Microsoft Excel, Microsoft Word, PowerPoint, and Outlook.
  • Experience with Peerplace, VIVE, and AWARDS database preferred.
  • Excellent time management skills and willing to be flexible with work schedule.
  • Ability to conduct community outreach to recruit new volunteers.
  • Demonstrate excellent public speaking and problem-solving skills.
  • Ability to work independently and collaboratively.

Responsibilities

  • Connect case management clients to needed referrals- healthcare, nutrition, transportation, financial benefits, housing, and mental health support.
  • Facilitate ongoing communication and follow-up calls between matched seniors and volunteers.
  • Assist with reference and background checks for volunteers.
  • Process client and Friendly Visiting volunteers’ referrals from case management agencies within the funder’s database system.
  • Perform data entry for visits, follow-up activities, and client information in the relevant funding database.
  • Document all contacts, units, conversations, and in-service trackers as required by funder guidelines and identify necessary tasks to ensure compliance with funder and agency standards.
  • Prepare four monthly reports, with two due by the 15th and the other two by the 8th of each month. Additionally, work on cultivating quarterly board reports.
  • Maintain ongoing communication and collaboration with the Case Management team to ensure that referred clients are properly assessed, matched, and receive quarterly reviews.
  • Act as a liaison for nonclinical updates, ensuring Case Managers have accurate information to adjust care plans.
  • Conduct a minimum of 3 match visits a week to facilitate matches with volunteers.
  • Create letters, lists, and flyers for outreach purposes.
  • In the absence of the Director, complete assessment responsibilities as necessary.
  • Complete outreach events on a monthly basis to engage prospective older adults and volunteers.
  • Executing special projects and initiatives with support from the program director.
  • Performing other duties as assigned.

Job Hours: 35 hours per week
Location: Midtown Manhattan, 9am – 5 pm, one work from home
Compensation: $54,600, annually

Position Summary:

Volunteers are a vital part of the ongoing life of many nonprofits, and especially for older adult service organizations like Encore Community Services. They are the driving force behind Encore’s outreach programs, including the Friendly Visiting Program (FVP) and the Age Friendly Community Outreach Program (AFCP). The Assistant Coordinator, reporting to the Friendly Visiting Program Director, plays a key role as the welcoming face of Encore for new and ongoing volunteers. The FVP involves matching volunteers with isolated, homebound seniors in Manhattan South for weekly home visits or virtual visits. The Assistant Coordinator’s role is to assist the Director of Friendly Visiting in the operation of Encore’s FVP and in maintaining compliance with the funding source requirements. The AFC will interact with volunteers, staff, and clients responsibly and courteously.
