Position Summary

As our organization expands geographically and operationally, we are seeking a DOT Fleet Manager to centralize oversight of multi-state fleet operations. This role ensures compliance with 49 CFR and FMCSA regulations, drives fleet safety, reduces operational risk, optimizes maintenance, and standardizes processes across all operating companies (OpCos).

The DOT Fleet Manager will partner with Operations, EHS, HR, Finance, and Insurance to protect enterprise value and mitigate preventable losses.

Key Responsibilities
Regulatory Compliance
  • Maintain Driver Qualification Files (DQFs) and track CDL licenses, medical certifications, and state registrations.
  • Administer and document DOT Drug & Alcohol testing programs (pre-employment, random, post-accident, and reasonable suspicion).
  • Centralize UCR registration and multi-state DOT compliance requirements.
  • Ensure compliance with 49 CFR Parts 382, 383, and 390–396.
  • Monitor the FMCSA Clearinghouse for violations and maintain accurate reporting.
Fleet Safety & Risk Management
  • Standardize motor vehicle collision (MVC) reporting and follow-up procedures.
  • Conduct incident trend analysis and support corrective action plans.
  • Implement driver training programs and fleet safety initiatives.
  • Oversee toll management and fleet event reporting, including parking, red-light, and speeding violations.
Operational Oversight
  • Standardize vehicle inspections, preventive maintenance programs, and fleet monitoring tools.
  • Oversee telematics and ELD implementation to improve operational performance.
  • Maintain accurate vehicle inventory records and support fleet lifecycle management.
Claims & Insurance Coordination
  • Partner with claims administrators and insurers on accident investigations.
  • Support root cause analysis and loss mitigation planning.
  • Assist with insurance audits, loss run reviews, and claims reduction strategies.
Policy, Procedures & Reporting
  • Develop and maintain the fleet safety manual, including regional and winter driving protocols.
  • Establish driver onboarding and training requirements.
  • Develop dashboards and KPIs for fleet safety, compliance, cost per mile, and utilization.
Procurement & Maintenance
  • Standardize fleet procurement procedures with Enterprise and Strategic Sourcing teams.
  • Monitor maintenance programs and build relationships with service providers.
Required Qualifications
  • 4+ years of fleet management experience in a multi-state environment.
  • Demonstrated expertise in 49 CFR / FMCSA compliance and audit readiness.
  • Experience administering DOT Drug & Alcohol testing programs.
  • Proven experience managing fleet procurement and maintenance strategy.
  • Experience coordinating insurance claims and accident investigations.
  • Strong analytical skills with the ability to develop executive-level reporting and dashboards.
Preferred Qualifications
  • Experience in the construction or MEP industry.
  • Experience in private equity-backed or multi‑OpCo organizations.
  • Experience implementing telematics and fleet management software.
