Job description

Job Title: Fleet & Equipment Maintenance Supervisor

Location: The Urban Foresters, Stafford, TX Branch
Department: Production
Reports To: Production Manager
Position Overview

The Fleet & Equipment Maintenance Supervisor handles the day-to-day uptime, mechanical safety, and field readiness of all company vehicles and high-vibration equipment (including our specialized chipper trucks and wood chippers). This is a foundational leadership role designed for a skilled technician or coordinator ready to transition into management. You will be responsible for keeping the fleet safely on the road, maintaining accurate mechanical logs via simple digital tools, and managing field logistics. The company will mentor you in advanced fleet logistics, inventory control, and capital budgeting to prepare you for a management track.

Core Responsibilities
1. Fleet Maintenance & Mechanical Execution
  • Preventative Maintenance (PM): Run a strict routine service schedule (oil changes, blade rotations, belt adjustments, hydraulic line inspections) to maximize fleet availability.
  • Hands-On & Visual Troubleshooting: Diagnose engine and hydraulic issues quickly, handle minor on-site repairs, and prepare equipment for specialized diesel or welding shops when needed.
  • Vibration Management: Maintain a rigid sharpening and replacement loop for high-wear chipper blades and anvils to prevent premature structural wear on equipment.
2. Logistics, Utilization & Field Staging
  • Morning/Evening Fleet Cadence: Execute daily morning gate checks and afternoon post-trip inspections to ensure every crew rolls out safely and zero defects are ignored.
  • Staging Coordination: Manage the movement and staging of equipment to ensure job site velocity and minimize crew downtime across the Greater Houston area.
  • Asset Tracking: Monitor "Days Out of Service" and active field availability to ensure the field has maximum production power daily.
3. Compliance & Basic Record Keeping (Data Integrity)
  • Meticulous Digital Logging: Utilize a smart mobile form system to log every repair, part used, and external vendor visit immediately upon completion.
  • DOT Readiness: Maintain clean, up-to-date truck folders and ensure all licensing, vehicle tags, and annual state inspections are 100% compliant.
  • Invoice Tracking: Collect, organize, and submit parts and service invoices to the BizOps team weekly with perfect asset-number accuracy.
4. Crew Accountability & Instruction
  • Operator Training: Run brief weekly field checks to coach truck drivers and tree crews on proper equipment care, fluid management, and daily greasing techniques.
  • Damage Reporting: Identify and flag crew negligence or field abuse of tools to protect company assets and curb avoidable repair expenses.
Required Qualifications
  • Experience: 2-3+ years of professional mechanical experience with diesel engines, vehicle electrical systems, and heavy trailer hydraulics (commercial tree care or heavy landscape construction exposure is highly valued).
  • Tech Literacy: Must be comfortable using smartphones/tablets to fill out digital checklists and log service receipts accurately in real time.
  • Regulatory Knowledge: Clear understanding of basic Texas DOT rules, driver vehicle inspection reports (DVIRs), and heavy equipment safety protocols.
  • License: Valid Driver's License with a clean driving record (CDL is a major plus but not required).
  • Mindset: Highly organized, safety-driven, with strong communication skills and a desire to learn the business administration side of fleet operations.
  • Bi-Lingual Spanish/English Strongly Preferred
Success Metrics
  • ≥ 95% Daily Fleet Availability: Keeping the 12 primary setups ready to roll for production every morning.
  • 100% Data Capture: Zero missing entries or stray invoices in the tracking sheet by Friday afternoon.
  • Emergency Breakdown Reduction: Dropping off-schedule field failures by executing proactive PM checks.
  • 100% Budget Adherence: Stay on budget through conscious spending practices and fleet preventative maintenance.
