Job summary

TopTech Fleet Solutions is seeking a detail-oriented Fleet Assurance Coordinator to support the day-to-day administration of our managed maintenance program for medium- and heavy-duty fleets. You will be the primary contact between customers, service providers, and internal teams to keep maintenance services coordinated efficiently and records accurate.

This role emphasizes service coordination, reporting, and administrative tasks with a focus on communication and teamwork across departments.

Qualifications

• 2-4 years of experience in fleet maintenance administration, service coordination, transportation operations, customer service, or related field.
• Experience with Microsoft Office Suite and Smartsheet.
• Strong organizational and time management skills.
• Excellent written and verbal communication abilities.

Responsibilities

• Serve as a primary point of contact for customer inquiries related to Fleet Assurance services.
• Assist customers with maintenance requests, service updates, and program questions.
• Maintain accurate records, service docs, and account information.
• Support onboarding and ensure required information is collected and documented.
• Coordinate maintenance and repair activities between customers, providers, and internal teams.
• Monitor service progress and provide status updates to customers.
• Prepare and distribute operational reports and service activity summaries.
• Maintain spreadsheets, dashboards, and tracking tools used by the Fleet Assurance team.
• Support audits, reporting requests, and administrative projects.
