Greater Rockford Auto Auction, Inc. is seeking a Fleet Lease Coordinator in Rockford, IL to manage fleet and lease accounts and ensure vehicles move smoothly through the auction process.

You will coordinate with clients, vendors, and internal teams to handle arrivals, inspections, and sale preparation, while meeting client expectations and auction timelines. Prior automotive or fleet experience is preferred.

Qualifications

• Prior automotive, fleet, or auction experience preferred.
• Experience with vehicle logistics is a plus.

Responsibilities

• Coordinate intake and processing of fleet and lease vehicles.
• Communicate with clients to provide updates and resolve inquiries.
• Schedule inspections, reconditioning, and repairs.
• Maintain documentation for all incoming units.
• Collaborate with internal departments to manage vehicle flow.
• Monitor inventory and prepare vehicles for auctions.

• Assist with title processing and floor pricing as needed.
• Manage a large volume of vehicles and accounts.

Job Summary:

The Fleet Lease Coordinator manages fleet and lease accounts, ensuring vehicles move smoothly through the auction process. This role coordinates with clients, vendors, and internal teams to handle arrivals, inspections, and sale preparation, meeting client expectations and auction timelines.

Supervisory Responsibilities:

Duties/Responsibilities:

• Coordinate the intake and processing of fleet and lease vehicles.
• Communicate regularly with clients to provide updates and resolve inquiries.
• Schedule and track vehicle services including inspections, reconditioning, and repairs.
• Ensure proper documentation is submitted and maintained for all incoming units.
• Work with internal departments to manage vehicle flow.
• Monitor inventory and prepare vehicles for upcoming auctions.
• Address vehicle status issues or delays with urgency and professionalism.
• Assist with title processing and floor pricing as needed.
• Manage large volume of vehicles and accounts.
• Perform other duties as assigned.

Required Skills and Abilities:

• Strong organizational and multitasking skills.
• Excellent communication and customer service abilities.
• Proficient in Microsoft Office
• Preferred experience with auction-related inventory systems.
• Ability to work effectively with internal teams and external clients.
• Familiarity with vehicle titles, VINs, and fleet documentation preferred.

Education and Experience:

• High school diploma or equivalent required.
• Prior experience in automotive, fleet, or auction environments preferred.
• Experience with vehicle logistics or lease account coordination is a plus.

Physical Requirements:

• Primarily office-based with frequent walking on the lot.
• Ability to work in both indoor and outdoor conditions.
• May require occasional lifting of items up to 25 lbs.

Compensation:

$17.00 - $19.00 per hour

Insurance:

Eligible on 1st of the following month following 60 days of continuous employment, employees can choose health, dental, and vision plans through United Health Care networks, with PPO or High Deductible options and an HSA.

Retirement:

After six months, employees can contribute to a 401(k) with traditional or Roth options. GRAA matches 100% of contributions up to 3% and 50% for the next 2%.
