Job summary

The Grey Barn in Fayetteville, AR is seeking a hands-on Fleet, Equipment & Yard Supervisor to keep vehicles, equipment, tools, shop and yard safe, organized, and ready for work. You’ll coordinate maintenance, manage inventory, and build systems that prevent breakdowns and delays.

This role requires practical ownership, strong organizational skills, and the ability to work with outside vendors. A valid driver’s license and comfort working indoors and outdoors are essential.

Qualifications

Responsibilities

• Fleet and trailer readiness: Inspect vehicles, track service intervals, maintain records, and coordinate preventive maintenance.
• Equipment maintenance: Oversee mowers, engines, tools, forklifts; arrange repairs as needed.
• Shop and yard organization: Establish labeled storage and procedures for tools and materials.
• Inventory control: Track assignments, parts, consumables, and materials; manage stock levels.
• Crew support: Ensure trucks and gear are ready for morning departures and prep for next day.
• Safety and accountability: Document inspections, remove unsafe equipment, coach crews on care.
• Vendor coordination: Schedule service, arrange transport, follow up on repairs and costs.
• Records and facility support: Maintain logs, warranties, manuals, inventory; keep facilities organized.

The Grey Barn is seeking a hands-on Fleet, Equipment & Yard Supervisor to keep our vehicles, equipment, tools, shop, and yard safe, organized, and ready for work.

Working closely with our operations and landscaping crews, you’ll coordinate maintenance, manage inventory, and build systems that prevent breakdowns and delays. Your work will help crews leave prepared each morning and deliver reliable service to our customers.

Responsibilities

• Fleet and trailer readiness: Inspect vehicles and trailers, track service intervals and registrations, maintain records, and coordinate preventive maintenance and repairs.
• Equipment maintenance: Oversee commercial mowers, small engines, handheld tools, skid steers, forklifts, and other equipment. Complete basic maintenance within your capabilities and arrange specialized repairs when needed.
• Shop and yard organization: Establish labeled storage areas and consistent procedures for storing, cleaning, and returning tools, equipment, and materials.
• Inventory control: Track equipment assignments, replacement parts, consumables, and landscaping materials. Maintain appropriate stock levels and distinguish job-specific materials from general inventory.
• Crew support: Verify that trucks, trailers, tools, fuel, and supplies are ready for morning departures. Coordinate equipment returns and preparation for the next workday.
• Safety and accountability: Document inspections, remove unsafe equipment from service, report damage, and coach crews on proper equipment care.
• Vendor coordination: Schedule service appointments, coordinate equipment transportation, and follow up on repairs, costs, and return dates.
• Records and facility support: Maintain accurate maintenance logs, warranties, manuals, and inventory records. Help keep shared facilities and office supplies organized.

Major vehicle repairs can be handled by outside service providers. You should be able to recognize problems, explain what needs attention, and ensure repairs are completed.

Qualifications

• 3+ years of experience in fleet, equipment, warehouse, yard, facilities, construction, landscaping, mechanical, logistics, or a similar operational environment.
• Experience taking responsibility for company vehicles, equipment, tools, inventory, or other physical assets.
• Strong organizational skills and the ability to build and maintain practical tracking systems.
• Basic mechanical knowledge and the ability to recognize obvious vehicle and equipment safety issues.
• Experience coordinating repairs and working with outside vendors.
• Ability to use spreadsheets, email, calendars, and basic business software while maintaining accurate records.
• Clear communication skills and the ability to reinforce standards respectfully.
• Ability to work independently, prioritize tasks, and follow through without constant direction.
• Comfort working indoors and outdoors around landscaping and construction equipment.
• Ability to safely lift and move tools, parts, and supplies associated with the role, with or without reasonable accommodation.
• Valid driver’s license, acceptable driving record, and reliable transportation.

Preferred: Small-engine repair experience and the ability to perform routine equipment maintenance in-house.

Schedule & Compensation

• Schedule: Monday–Thursday, 5:45 AM–5:00 PM.
• Additional Fridays: Required during onboarding, peak season, major repairs or projects, and other operational needs.
• Base salary: $52,000 annually.
• Performance bonus: Up to $8,000 annually, tied to readiness, preventive maintenance, safety, organization, inventory accuracy, and reduced avoidable downtime.
