Job summary

Hodge Western Corp is seeking a highly organized Fleet & Equipment Administrator to support management of our growing fleet of heavy construction equipment, trucks, trailers, and support assets across multiple states. This role reports to the Fleet & Equipment Manager and focuses on accuracy, recordkeeping, and efficient day-to-day fleet operations.

The ideal candidate will be proactive, detail-oriented, and capable of prioritizing multiple tasks in a fast-paced construction environment.

Qualifications

• 2+ years of experience in an administrative, operations support, fleet coordination, equipment rental, or similar role.
• Proficiency with Microsoft Excel, Outlook, Word, and other standard office software.
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple tasks, prioritize deadlines, and follow through on outstanding items.
• Strong written and verbal communication skills.
• Ability to work independently while supporting a collaborative team environment.

Responsibilities

• Maintain accurate records of company-owned and rented assets, including locations and assignments.
• Maintain and update fleet management software, equipment databases, and tracking spreadsheets.
• Maintain accurate service histories, repair records, work orders, and warranty documentation.
• Track open maintenance items and follow up to help ensure timely completion.
• Assist with coordinating the transportation of heavy equipment, trucks, trailers, and support assets between project locations.
• Maintain organized records of equipment registrations, titles, insurance, inspections, and other required documentation.
• Support the Equipment Manager with DOT-related fleet documentation and recordkeeping.
• Assist with tracking equipment maintenance, repair, rental, fuel, and transportation expenses.

POSITION SUMMARY

Hodge Western Corp is seeking a highly organized, detail-oriented Fleet & Equipment Administrator to support the management of our growing fleet of heavy construction equipment, trucks, trailers, and support assets operating across multiple states.

Working directly under the Fleet & Equipment Manager, this position plays an important role in coordinating and tracking company assets, maintaining accurate records, and supporting day-to-day fleet operations. The ideal candidate is a proactive problem-solver who enjoys working in a fast-paced construction environment managing multiple priorities and communicating effectively. Experience with heavy construction equipment or fleet operations is preferred, but candidates with strong administrative and organizational skills and a willingness to learn the construction equipment industry are encouraged to apply.

COMPENSATION AND BENEFITS

• Annual compensation: $55,000-$70,000, depending on experience, qualifications, and office location.
