Job summary

The City of New York seeks a Fleet Auction Coordinator to lead the public auction of used city vehicles and equipment. You will appraise vehicles, set minimum bids, review sale prices for approvals, maintain documents, perform onsite inspections, coordinate keys, manage vendors, and support DCAS Fleet units.

Qualifications

  • Bachelor's degree and 3 years of clerical/administrative experience, 1 year in supervisory capacity.
  • Associate degree with 4 years of relevant experience including 1 year supervision.
  • High school diploma with 5 years of progressive clerical/administrative experience including 1 year supervision.
  • Education above high school may be substituted per policy, maintaining supervisory requirement.

Responsibilities

  • Attend meetings and prepare relevant reports.
  • Safeguard vehicle titles and proof of ownership.
  • Weekly review of auction inventory and title management.
  • Coordinate agency/vendor/customer buyer logistics and documentation.
  • Track transfers of vehicles within the NYC fleet (ownership changes).
  • Coordinate title management with NYS DMV including duplicates/salvage designations.
  • Assist with license plate process with State DMV.
  • Maintain sales materials and support internal audits of vendor fees and invoices.

Job description

Fleet Auction Coordinator

Department: Fleet Sustainability – City of New York. This role reports to the Director of Auction.

This position is responsible for publicly auctioning used city cars, trucks, and equipment to generate revenue for the city. Key duties include vehicle appraisal, estimating minimum bid pricing, reviewing sales prices for approvals, maintaining necessary documents, performing onsite inspections, troubleshooting, coordinating keys, managing vendors, conducting transactions, resolving issues, and providing assistance to other DCAS Fleet units.

Key Responsibilities
  • Attend meetings and calls, participate in conference calls, and prepare relevant reports.
  • Physically receive and safeguard vehicle titles and proof of ownership for each vehicle.
  • Weekly review of auction inventory and title management.
  • Respond to agency client requests regarding the status of vehicle relinquishments, pickups, etc.
  • Review and update vehicle records in the Citywide Fleet Database and reconcile as necessary.
  • Coordinate agency/vendor/customer buyer logistics and documentation.
  • Track and assist with all transfers of vehicles within the NYC fleet – these are changes of ownership between agencies.
  • Coordinate title management with NYS DMV including duplicates and salvage designations.
  • Assist with new non‑official license plate process with State DMV.
  • Coordinate vendor activities including assistance with internal audits of vendor fees and invoice reconciliation.
  • Document download, retention, and maintenance of all sales materials.
  • Perform related work and assist with other DCAS Fleet units as necessary.
Working Conditions

This position may be eligible for remote work up to two days per week pursuant to the Remote Work Pilot Program agreed to between the City and 1180.

Minimum Qualifications
  1. A baccalaureate degree from an accredited college and three years of satisfactory full‑time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty.
  2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full‑time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in item 1.
  3. A four‑year high school diploma or its educational equivalent approved by a state’s department of education or a recognized accrediting organization and five years of satisfactory full‑time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in item 1.
  4. Education and/or experience equivalent to items 1, 2, or 3. However, all candidates must possess the one year of administrative or supervisory experience described in item 1. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in item 1) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
