Job summary

Mansfield Service Partners in Houston, TX is seeking a Fleet Administrator to support the day-to-day administration of our company fleet, coordinating new vehicle setups, maintaining accurate records, and keeping fleet processes moving across locations.

You will enter and maintain vehicle data in fleet management systems, track assets, coordinate with internal teams and vendors, assist with titles/registrations, POs, and invoicing, plus contribute to reports and audits.

Qualifications

  • 1+ year in an administrative/coordination role in a documentation-heavy environment.
  • Strong organization and attention to detail are essential.
  • Ability to manage multiple tasks, deadlines, and follow-ups.
  • Working knowledge of Microsoft Excel (filters, sorting, basic formulas).
  • Strong written and verbal communication, plus comfort with multiple systems.

Responsibilities

  • Coordinate administrative setup for new vehicles and equipment (fuel cards, insurance, decals, telematics, registration, docs).
  • Enter and maintain vehicle/equipment information in fleet systems.
  • Track assets through lifecycle and coordinate with internal teams, dealers, and vendors.
  • Maintain fleet files, driver/permit books, and related documentation.
  • Assist with titles/registrations through third-party providers and with PO processing.

Mansfield Service Partners is looking for a Fleet Administrator to join our team in Houston, TX.

This is a great opportunity for someone with early career experience in administration, transportation, logistics, or a similar environment who is organized, detail-oriented, and ready to take on more responsibility. You'll support the day-to-day administration of our company fleet, helping coordinate new vehicle and equipment setup, maintain accurate records, and keep fleet processes moving across multiple locations.

Work Schedule

Monday-Thursday in our Houston office with Fridays remote.

What You'll Do
  • Coordinate administrative setup for new vehicles and equipment, including fuel cards, insurance, decals, telematics, registration, and required documentation.
  • Enter and maintain accurate vehicle and equipment information in fleet management systems.
  • Track incoming, active, transferred, sold, and retired fleet assets.
  • Coordinate with internal teams, operating locations, dealers, and vendors to gather information and follow up on outstanding items.
  • Maintain fleet files, driver/permit books, and other required documentation.
  • Assist with vehicle title and registration coordination through the company's third-party provider.
  • Process approved purchase orders and assist with vendor setup and invoice review.
  • Support the administrative process for vehicle and equipment sales and disposals.
  • Assist with fleet reports, audits, recordkeeping, and special projects.
What We're Looking For
  • One (1)+ year of experience in an administrative, coordination, or records management role within a documentation-heavy environment.
  • Strong organization and attention to detail.
  • Ability to manage multiple tasks, deadlines, and follow-ups.
  • Working knowledge of Microsoft Excel, including filtering, sorting, and basic formulas.
  • Strong written and verbal communication skills.
  • Comfortable learning and working in multiple computer systems.
Preferred (not required)
  • Previous exposure to fleet, transportation, logistics, automotive, or equipment operations.
  • Experience with Fleetio, Samsara, SkyBitz, or similar systems.
  • Experience with purchase orders, invoices, vehicle documentation, or vendor coordination.
  • Bilingual English/Spanish.
