  • Code and allocate agency bills and central-office expenses monthly.
  • Prepare quarterly SUTA reports and weatherization payroll allocations.
  • Participate in cross-training initiatives across finance roles.

Job Responsibilities

Summary
The Fiscal Assistant plays a crucial role in supporting our financial operations. This position is responsible for processing cash receipts and disbursements, preparing reports, and handling various administrative financial tasks to ensure smooth operations and compliance with organizational policies. Proficiency in accounting software and a keen attention to detail are essential for success in this role.

Essential Duties and Responsibilities include the following. (Other duties may be assigned.)

Cash Receipts & Disbursements:
Prepare cash receipts for deposit daily pursuant to accounting policies and procedures
Enter cash receipts into accounting software.
Enter cash disbursements into accounting software.
Reporting:
Prepare the biweekly payroll spreadsheet for the senior citizen total meal cost report.
Prepare spreadsheets for HUD 202/811 deposit entries
Prepare the drawdown for Child Development Program weekly, and twice weekly on payroll weeks. Keeps a log of drawdowns for reconciliation.
Invoice & Payment Processing:
Enter invoices into three accounting software
Post invoices, print checks, and process EFT payment files
Code Agency bills for payment.
Allocate central office bills monthly.
Allocate agency credit card bills, including cell phone charges monthly.
Documentation & Administrative Tasks:
Keep copies of agency bills and pull copier report(18th of month) for central office billing
Make copies of interest on bank statements for entry into software including entry of HUD 202 interest in monthly spreadsheet.
Scan security deposit bank statements to HUD 202 personnel
Order for CDP, document, and scan into Microix; provide printed copies to CDP Fiscal Assistant.
Store and present checks for vendor pickup.
Periodically take items to Lawrence county for drop off and signatures
Prepare templates for Weatherization billing including allocation of payroll expenses.
Complete quarterly SUTA reports for BRAD processing group.
Prepare indirect cost billing Monthly for review by CFO
Enter budget information into software
Participate in cross-training initiatives for various finance roles to promote a well-rounded understanding of departmental functions.

Training & Safety Culture: Flexibility to attend evening greetings or training as needed; willingness to travel for training and conferences. Completion of all required training is mandatory.
