Job description

The College of Arts and Sciences is the largest academic unit at Indiana University Bloomington, comprising over 40 departments, 50 centers, programs, and institutes, including the Eskenazi School of Art, Architecture and Design, the Hamilton Lugar School of Global and International Studies, and The Media School. Faculty teach over 50% of the university's credit hours across more than 80 buildings on the Bloomington campus.

Molecular and Cellular Biochemistry is a vibrant academic science department offering undergraduate and graduate programs. Located in Simon Hall, a multidisciplinary science building, the department fosters interdisciplinary research among biology, chemistry, medical sciences, and physics.

Job Summary

In collaboration with the College Finance Office and MCB Department Manager, the MCB Financial Administration Coordinator performs moderately complex financial and administrative duties to support the department's daily operations, ensuring compliance with university policies and applicable regulations.

Department-Specific Responsibilities
  1. Oversees daily expenditures according to IU policies.
  2. Processes documents into university systems (Travel, KFS, HRMS, etc.).
  3. Responds to faculty and staff inquiries regarding financial transactions and payroll.
  4. Prepares purchase orders for research lab goods and services.
  5. Advises faculty on vendors and pricing based on department and university history.
  6. Acts as liaison with vendors and IU Purchasing for orders and returns.
  7. Audits invoices, packing slips, and acknowledgments for accuracy; authorizes payments.
  8. Manages physical inventory of departmental assets and maintains related databases.
  9. Coordinates and audits payroll transactions, including graduate student appointments.
  10. Handles checks, retroactive payments, and overpayment adjustments.
  11. Verifies employment eligibility to comply with federal I-9 requirements.
  12. Serves as first responder for departmental inquiries.
  13. Coordinates personnel issues with the Departmental Manager, including new hires and separations.
General Responsibilities
  1. Performs financial and administrative tasks with minimal supervision.
  2. Handles complex assignments and guides lower-level coordinators.
  3. Maintains financial records, compiles data, and prepares reports.
  4. Investigates discrepancies and recommends audits.
  5. Assists in designing and implementing processes.
  6. Processes payroll, verifies adjustments, and monitors accounts for timely payments.
  7. Responds to inquiries about policies and procedures, leading on complex cases.
  8. Acts as liaison with university divisions and departments.
Qualifications

Combination of education and experience may be considered. Education beyond the minimum can substitute for experience, and vice versa.

Education
  • Required: High school diploma or equivalent (GED, HSED)
  • Preferred: Associate's degree or higher

Working Conditions / Demands

Work Location

Bloomington, Indiana. Post-training, eligible for hybrid work schedule (1 remote day during the academic year, 2 during breaks), subject to change.

Salary

$19.23 to $20.19 per hour.
