Job Title

Sr. Portfolio Administration Coordinator

Job Description Summary

Responsible for reviewing leased and owned property documents as well as compiling and maintaining critical location data, including financial and contractual obligations, as part of the lease administration process. This position may be assigned to one or more accounts/clients.

Job Responsibilities
  1. Review, abstract, and perform quality control data audits of documents, including updating and maintaining all lease information in our technology systems.
  2. Ensure proper document management measures are followed for all leased, owned, and associated documents. Maintain file retrieval/storage, scan documents, and handle mail.
  3. Review client invoices against lease requirements, gather supporting documentation from landlords or billing authorities, and verify calculations.
  4. Conduct desktop audits of Year-End CAM, Insurance, and Real Estate Tax reconciliations, interpret charges for accuracy, and resolve disputes with landlords.
  5. Ensure accurate financial obligations for clients and timely processing of monthly rents.
  6. Manage the subtenant process, including recording and collecting rent and passing through invoices and reconciliations.
  7. Communicate regularly with internal and external partners, notify clients of critical dates, policies, and assist with inquiries.
  8. Request and process certificates of insurance as required by lease agreements.
  9. Review Estoppels and SNDAs against lease terms.
  10. Respond to property inquiries with good judgment and logic.
  11. Maintain productive landlord and subtenant relationships per lease agreements.
  12. Prioritize tasks and create schedules for portfolio objectives.
  13. Manage multiple projects in a fast-paced environment.
  14. Assist with financial and critical date reports, identify savings, exceptions, and investigate causes.
  15. Support or oversee special projects as requested.
  16. Partner with the team to establish new accounts efficiently.
  17. Assist or oversee the creation and updates of process playbooks.
  18. Provide guidance to other coordinators and train new staff.
  19. Identify business expansion opportunities with existing clients.
  20. Stay informed on industry standards and trends.

Education and Experience
  • High School diploma or GED required

  • Ability to interpret complex lease terminology
  • Proficiency with MS Office Suite
