Ronald McDonald House Tampa Bay is seeking a Finance & Operations Senior Manager to lead financial operations, grants and restricted funds, and organizational efficiency in a mission-driven nonprofit. The incumbent will oversee accounts payable, budgeting, and month-end close while ensuring compliance and donor intent across multiple locations, with a strong focus on service

Qualifications

  • Bachelor’s degree in business administration, finance, or related field preferred.
  • Minimum of five (5) years of progressive experience in a finance or accounting role, with demonstrated ability to operate independently and manage the full accounting function.
  • Proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
  • Ability to handle confidential financial information with discretion and professionalism.
  • Excellent verbal and written communication skills, including the ability to translate financial concepts for non-finance audiences.
  • Self-directed and proactive, with a track record of taking ownership and driving results in a collaborative environment.

Responsibilities

  • Own and manage the full accounts payable cycle, including vendor invoice processing, weekly check runs, electronic payments, and positive pay file preparation in coordination with banking controls.
  • Record, code, and allocate all financial transactions—including bank deposits, credit card activity, and journal entries—to the appropriate general ledger accounts, programs, grants, and restricted funds in accordance with donor intent and grant requirements.
  • Lead monthly reconciliations for bank accounts, credit cards, and assigned balance sheet accounts; investigate and resolve discrepancies promptly.
  • Review organizational credit card activity to ensure completeness, accuracy, and compliance with internal expense and documentation policies.
  • Own budget tracking and variance analysis across programs and departments, preparing financial schedules and reports that support leadership decision-making.
  • Act as the primary internal point of contact with the external CPA, driving monthly close, financial reviews, and year-end audit readiness, including coordinating documentation requests and responses.

Classification: Full Time, Salary - Exempt

Hours: 40 hours a week, typically between 9:00am – 5:00pm Monday – Friday

Location: On-site Tampa House Davis Island - with ability to travel to our Tampa/St Pete locations as needed

Ronald McDonald House Tampa Bay has been working to improve the health and well-being of children and their families since 1980. Our primary program, the Ronald McDonald House, provides a place to stay for families that have children receiving medical treatment at Tampa Bay hospitals and outpatient centers. There are 5 Ronald McDonald Houses in Tampa Bay, 3 located in St. Petersburg and 2 located in Tampa.

Position Overview:

The Finance & Operations Senior Manager owns and oversees the organization’s financial operations, serving as the primary internal finance lead and a key bridge between financial data and day-to-day organizational decision-making. This role is accountable for the accuracy, integrity, and timeliness of all financial activity—including bookkeeping, accounts payable, grant and restricted fund management, and month-end close—while partnering closely with leadership and external accounting partners to drive financial visibility and compliance.

Beyond finance, this role ensures operational effectiveness across the organization—overseeing business processes, systems, and cross-functional workflows so that every team has what they need to focus on the mission. The Finance & Operations Senior Manager translates complex financial information into practical, accessible insights for programs, development, and operations teams, functioning as a trusted and proactive organizational resource. The ideal candidate is a self-directed professional who combines strong technical finance skills with a collaborative, service-oriented approach to leadership.

Finance Functions:
  • Own and manage the full accounts payable cycle, including vendor invoice processing, weekly check runs, electronic payments, and positive pay file preparation in coordination with banking controls.
  • Maintain and ensure completeness of vendor files, including required documentation such as W - 9s and payment information.
  • Record, code, and allocate all financial transactions—including bank deposits, credit card activity, and journal entries—to the appropriate general ledger accounts, programs, grants, and restricted funds in accordance with donor intent and grant requirements.
  • Lead monthly reconciliations for bank accounts, credit cards, and assigned balance sheet accounts; investigate and resolve discrepancies promptly.

  • Support the financial aspects and sponsorship tracking of organizational events and activities.
  • Maintain compliance with applicable legal and regulatory requirements for nonprofit finance, including restricted funds and grant tracking aligned with donor intent.
  • Utilize and maintain organizational financial and administrative systems with accuracy and consistency; identify and escalate system issues or improvement opportunities to leadership.
  • Perform other related duties as assigned in support of the organization’s financial and business operations.
Business Operations:
  • Oversee organization-wide business operations, ensuring that cross-functional workflows are organized, consistent, and nothing falls through the cracks across Finance, HR, Programs, Development, and Operations teams.
  • Manage mail operations, including secure intake, sorting, routing, and timely electronic distribution.
  • Maintain and improve filing and document management systems (digital and physical), ensuring records are accessible, organized, and retained per policy.
  • Oversee office and operational supplies management, including inventory tracking, ordering, and vendor coordination.
  • Triage incoming business needs and requests, routing items to appropriate functional teams and following up to ensure timely resolution.
  • Serve as a welcoming point of contact for incoming calls and inquiries, providing excellent service to families, partners, vendors, and the public.
  • Identify and implement process improvements that enhance operational efficiency and support organizational effectiveness.
  • Provide general administrative support ensuring smooth day-to-day business operations across the organization.
Job Qualifications:

  • Mental Demands: Ability to read, interpret, and communicate financial and administrative information clearly. Must perform detailed work requiring reasoning, sound judgment, and the ability to synthesize financial data into actionable insights for organizational leadership. Ability to manage multiple priorities in a dynamic work environment.
  • Physical Demands: Primarily office-based work with periodic physical activity required to support mission and operational needs. Must be able to stand, walk, bend, and lift or move supplies or materials weighing up to approximately 40 pounds during events or operational support activities.
Special Notes:

The probationary period is 90 days. A review will be conducted by the direct supervisor at 90 days and 1 year; yearly review thereafter with salary consideration by Ronald McDonald House Tampa Bay Essential requirements are subject to possible modification to reasonably accommodate individuals with disabilities.
