Job summary

Responsibilities

  • Manage Financial Systems (45% FTE) including AP, deposits, reconciliations, and financial statements.
  • Oversee HR and Payroll Administration (35% FTE) with onboarding, bi-weekly payroll, and benefits.
  • Provide leadership and backup for office administration, data entry, and customer communications.
  • Perform Financial Analysis (5% FTE): forecasting, budgeting, and price setting with teams.

Position Summary & Dimensions
Summary

This position supports Wilderness Inquiry’s financial, human resource, and office

administration systems to ensure all basic business functions run efficiently and effectively.

These essential organizational systems support the entire Wilderness Inquiry team to

ensure high quality and cost effective programming goals are met on a daily basis.

Dimensions

Classification Range: $62,000 – $72,000

Reports To: Director of Workplace and Business Operations

Supervisory Responsibilities: Temporary part-time Finance & Human Resources Coordinator

Essential Roles and Responsibilities
Responsibility 1: Manage Financial Systems (45% FTE)
Tasks
  • A. Accounts Payable: Ensure all bills are paid on time, and Wilderness Inquiry cash position remains solvent.
  • B. Deposits: Make bank deposits in accordance with financial control policies.
  • C. Financial Reconciliations: Reconcile all monthly credit card statements, bank statements, and deposits.
  • D. Financial Statements: Work with external accountants to produce accurate and compliant monthly financial statements and support year-end financial data gathering for auditors.
  • E. Grant Reconciliation: Gather and consolidate financial information for government grant reimbursements and other grant reporting including management of; salary allocations, receipts, expense spreadsheets, and other reporting.
  • F. Fiscal Controls: Upholds proper financial accounting through effective staff training and ensuring team adherence to quality standards and deadlines.
  • G. Supervise: Supervise part time temporary Finance & Human Resources Coordinator during peak season, when needed.
Responsibility 2: Human Resources and Payroll Administration
(35% FTE)
Tasks
  • A. Onboard new employees through payroll and new hire paperwork, including processing background checks, I-9 documentation, and other tax documents.
  • B. Process bi-weekly payroll, ensuring accurate pay and time calculations for all staff, appropriate withholdings, and accurate payroll reports.
  • C. Support Business Administration Director with benefit administration, including processing retirement enrollment and payments, health insurance enrollment, flexible spending administration, and all annual renewals.
  • D. Respond to employees’ payroll and other human resource-related inquiries.
Responsibility 3: Provide Leadership and Backup for Professional
Tasks
  • A. Fiscally controlled mail processing.
  • B. A schedule is maintained, with backup processes and people, to courteousl and efficiently answer customer communications by phone and email
  • Cross-train and provide leadership and backup for office administrative tasks, including:
    • A. Process training and backup is in place for post-trip data entry, including registration and demographic information tracking.
    • B. Contacts and organizational data entry.
    • C. Maintain and order office supply inventory.
  • Other duties as assigned
Responsibility 4: Financial Analysis (5% FTE)
Tasks
  • A. Support Wilderness Inquiry leadership and the Board of Directors Finance Committee with forecasting and budget analysis.
  • B. Analyze individual trips, itineraries, and programs for financial solvency based on variable and fixed costs. Collaborate with Sales and Adventures teams for trip market analysis and price setting.

Qualifications and Requirements
Required Qualifications:
