Job summary

University of Pennsylvania in Philadelphia is seeking a Business Administrator A to support financial and operational needs within the Department of Family Medicine and Community Health. The role focuses on budgets, grants, and program finances, collaborating with senior administrators to ensure sound stewardship of resources.

The successful candidate will have an associate degree and 2–3 years’ experience in financial or business administration, with strong analytical and reporting skills.

Qualifications

  • Associate degree and 2-3 years’ experience, or an equivalent combination of education and experience required.
  • Prior experience in financial or business administration, preferably in an academic medical center, research institution, health system, or higher education environment.
  • Demonstrated proficiency in resource management, financial analysis and reporting, and expense reconciliation, strongly desired.

Responsibilities

  • Working closely with senior management to develop and administer annual operating budgets as well as ongoing management of endowments, gifts, residuals, etc.
  • Assisting the grants manager with the development of proposal preparation, including budget preparation for grant submissions.
  • Providing financial support for a set number of programs. This includes purchasing, travel and expense activity, and journal entries.
  • Involvement in some aspects of payroll and onboarding/offboarding of faculty, students, and staff.
  • Assisting financial management team with creating and monitoring salary distributions for staff and faculty.
  • Coordinating facilities and IT support requests, including IT inventory. Working with senior leadership when space requests/moves occur.
  • Other duties and responsibilities as assigned.
