Job Description Summary

Primary purpose of this role is to support the research activities of the Division of Infectious Diseases at the Department of Medicine. The Grants Manager will manage complex grants—including clinical research grants and program project grants with multiple sub‑contracts—from pre‑award through post‑award, working with Principal Investigators on proposal development, budget development and related pre‑award requirements and submission for a diverse sponsor portfolio. The position also manages post‑award processes, including monitoring and review of all charges, reconciliation of accounts, and preparation of monthly financial reports for PIs. Consulting with research faculty on budget and proposal compliance, the Grants Manager ensures all sponsor and university policies, regulatory and conflict of interest requirements are satisfied and that all financial and compliance reporting is accurate and timely.

Responsibilities
  • Manage pre and post award activities for various PIs, including RPPRs, reviewing funding opportunities, preparing proposal checklists, and assisting with proposal development.
  • Participate in the annual budget process and monthly financial analysis for sponsored programs, gifts, endowments, chair commitments and other university accounts.
  • Manage subcontracts and process RIS agreements, ensuring compliance and corrective action when needed.
  • Reconcile grant expenditures monthly for compliance, recommend corrective actions, and ensure accurate effort allocation for PI’s and research staff.
  • Collaborate with the Business Administrator to map payroll appropriately and process salary reallocations.
  • Maintain liaison with the University’s Office of Research Services and SOM’s Office of Research Support Services for all grants.
  • Enter monthly budgets and expense journal entries, reconciling fiscal year activity such as suspense and anticipated resources.
  • Provide training and mentorship to Grants Managers, serve as a resource for Grants Managers & Grants Coordinator for day‑to‑day financial operations.
  • Authorize purchasing and accounts payable transactions, including travel, ensuring audit compliance.
  • Recommend and implement policies and procedures for uniform reporting and compliance with university, school and sponsor requirements.
  • Exercise resource stewardship and report known or suspected irregularities.
  • Perform additional duties as assigned.
Qualifications
  • Bachelor of Science and 5 to 7 years of experience or equivalent combination of education and experience.
  • Experience with NIH and other federal granting agencies.
  • Proficiency with Microsoft Excel, Adobe, and Business Objects.
  • Excellent critical thinking, analytical, verbal and written communication skills.
  • Working knowledge of Uniform Guidance.
  • Organizational and time‑management skills for a deadline‑driven, multi‑priority environment.
  • Familiarity with UPENN sponsored research policies and related financial system preferred.
  • Strong organizational, data‑management and documentation skills; meticulous attention to detail.
  • Excellent interpersonal skills, ability to work independently and cooperatively.
  • Highly motivated, able to work in a team, multi‑task, strong work ethic, and flexibility under deadlines.
  • Awareness of grant submission coordination (pre‑award or post‑award) within a research setting desirable.
  • Computer skills: Excel or Access, familiarity with Ben Financial and Business Objects or similar financial software.
