Qualifications

• Manage administrative and financial responsibilities simultaneously, prioritize assignments, and meet deadlines.
• Strong organizational, analytical, and problem-solving skills with attention to detail.
• Mathematical, accounting, and budgeting skills to review revenue, expenses, reconciliations, and analysis.
• Proficiency with Microsoft Office applications, particularly Excel, for financial analysis and reporting.
• Ability to learn, interpret, and apply policies, procedures, guidelines, and financial requirements.
• Strong written, verbal, and interpersonal communication skills with faculty, staff, participants, vendors, and offices.
• Customer service skills to resolve registration and payment issues and support course activities.
• Ability to work independently, maintain records, and handle confidential information.
• Manage multiple projects and occasional evenings or weekends to support Continuing Education courses.
• Knowledge of UCLA policies and financial operations (preferred).
• Experience with UCLA financial systems and reporting tools (preferred).
• Experience administering Sales and Service activities and rate worksheets in a complex environment (preferred).

Responsibilities

• Provide administrative and financial support for UCLA Sales and Service activities including CE and Extension programs.
• Coordinate rate worksheets, approvals, and collaboration with campus accounting on overhead matters.
• Monitor revenue and expenses, perform reconciliations, and generate financial reports.
• Coordinate course registration, logistics, records, and communications with enrollees, faculty, vendors, and staff.
