Job summary

Work Location: North Marion School District - District Office - Aurora, Oregon
Schedule & Hours: 8 hours per day, 12 months per year
Rate of Pay: $57,200 - $71,260 Salary, Exempt

Position Summary

North Marion School District is seeking a detail-oriented and approachableFinance and Personnel Assistant to support our staff and the daily operations of our business office. This position coordinates employee onboarding, benefits, leave, and payroll support while performing accounts payable, accounts receivable, and other financial and administrative functions.

The successful candidate will bring strong organizational skills, a commitment to accuracy and confidentiality, and a welcoming approach to employee support. Working closely with the Director of Finance, this person will help staff navigate employment processes, maintain dependable records, and keep essential district operations running smoothly.

Key Responsibilities
  • Process accounts payable, including invoices, required approvals, payment preparation, vendor communication, and supporting records
  • Support purchasing, purchase orders, vendor setup, credit card documentation, and employee reimbursements
  • Assist with accounts receivable, deposits, routine billing, grant documentation, and financial records
  • Coordinate hiring and onboarding activities, including job postings, applicant records, interview materials, background checks, and new employee documents
  • Prepare and maintain authorized personnel records for employment changes, leaves, resignations, and terminations
  • Serve as the primary contact for routine employee questions about benefits, leave, time reporting, pay statements, and employment records
  • Coordinate benefit enrollment, changes, employee communications, and follow-up with benefit providers
  • Administer leave tracking and related employee processes, including forms, notices, documentation, and balances
  • Maintain absence, substitute, and time tracking systems and follow up on missing or inconsistent information
  • Gather and verify approved payroll information, enter authorized routine changes, and assist with payroll review and recordkeeping
  • Refer complex payroll, tax, retirement, contractual, and accounting questions to the Director of Finance
  • Track staff licensure, background checks, certifications, and renewal documentation
  • Support collective bargaining and contract administration through document preparation, recordkeeping, and coordination
  • Assist with audits, budget preparation, grant management, financial reporting, and business-office procedures
  • Maintain accurate, timely, and confidential personnel and financial records
  • Perform other related duties as assigned
Required Qualifications
  • High school diploma or equivalent required; College degree, coursework, or equivalent experience highly preferred
  • Experience in financial and personnel administration, such as payroll, human resources, accounts payable, or financial recordkeeping
  • Knowledge of basic employment, payroll, tax, benefit, leave, purchasing, and records practices, or the ability to learn applicable requirements
  • Proficiency in payroll, human resources, and accounting systems, Microsoft Office, and Google Workspace
  • Strong mathematical, organizational, communication, and customer service skills
  • High attention to detail and the ability to maintain accurate and complete records
  • Ability to protect confidential information and demonstrate integrity, discretion, and sound judgment
  • Ability to follow established procedures, recognize discrepancies, obtain approvals, and refer complex matters appropriately
  • Ability to work independently, manage competing priorities, and meet recurring deadlines
  • Ability to build positive working relationships with employees, applicants, vendors, administrators, and community members, including in stressful situations
  • Successful background and criminal history clearance and completion of all District employment requirements
Preferred Qualifications
  • College coursework or experience in business, accounting, human resources, or a related field
  • Experience working in a public-sector organization
