Job summary

The Compliance Store, a division of Turenne & Associates, is seeking a Finance and Operations Coordinator to provide essential financial and administrative support to the finance and operations teams.

You will process invoices, manage vendor files, assist with reporting and budgeting, and help improve processes while maintaining accurate records and ensuring compliance.

Qualifications

  • High school diploma or equivalent.
  • Experience in finance, accounting, or administrative role.
  • Proficiency in MS Office Suite, especially Excel, QuickBooks and/or other accounting software.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Knowledge of accounting principles and financial concepts.
  • Ability to work independently and prioritize tasks effectively.

Job SummaryThe Finance and Operations Coordinator is responsible for providing administrative and operational support to the finance and operations departments within The Compliance Store, a division of Turenne & Associates. This role involves assisting with financial transactions, maintaining financial records, and supporting various finance-related activities along with providing administrative and operational support. Position reports to the office and works 8:00AM-5:00PM, Monday-Friday.Key ResponsibilitiesFinancial Transactions:Assist with processing accounts payable and accounts receivable transactions.Prepare and process invoices, expense reports, and purchase orders.Ensure accuracy and completeness of financial documents and records.Financial Reporting:Assist in preparing financial reports, statements, and analyses as needed.Compile and organize financial data for budgeting, forecasting, and variance analysis.Generate standard and ad-hoc reports to support decision-making and financial planning.Record Maintenance:Maintain financial records, including vendor files, customer files, and financial databases.Organize and file financial documents and records following company policies and procedures.Ensure compliance with record retention policies and regulatory requirements.Expense Management:Monitor and track business expenses, including employee reimbursements and corporate credit card transactions.Reconcile expense reports and credit card statements to ensure accuracy and completeness.General and Administrative Support:Provide general administrative support to the finance and operations team, including scheduling meetings, answering phones, and responding to inquiries.Assist with special projects and initiatives as assigned by finance management.Assist with travel arrangements and other administrative tasks as needed.Compliance and Quality Assurance:Ensure compliance with company policies, procedures, and regulatory requirements in all operational activities.Support quality assurance efforts, including audits, reviews, and process documentation, to maintain high standards of performance and service delivery.Process Improvement:Identify opportunities for process improvement, efficiency gains, and cost savings across different operational areas.Develop and implement strategies, workflows, and best practices to streamline operations and enhance productivity.Data Management:Manage and maintain databases, spreadsheets, and other operational tools to track key metrics, performance indicators, and operational data.Generate reports, dashboards, and analyses to provide insights into operational performance and inform decision-making.Preferred QualificationsHigh school diploma or equivalent.Experience in finance, accounting, or administrative role.Proficiency in MS Office Suite, especially Excel, Quickbooks and/or other accounting software.Strong attention to detail and organizational skills.Excellent communication and interpersonal skills.Knowledge of accounting principles and financial concepts.Ability to work independently and prioritize tasks effectively.Working ConditionsWorks in office area.Moves intermittently during working hours.Is subject to frequent interruptions.Is involved with customers, and customer representatives, family members, residents, personnel, visitors, government agencies/personnel, etc., under all conditions and circumstances.Communicate with the designated facility staff, nursing personnel, residents, or family members.Is subject to call back during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.).Is involved in community/civic health matters/projects as appropriate.Attends and participates in continuing educational programs.EducationMust possess and maintain any and all necessary active and unencumbered certifications, degrees, or licenses in the necessary state, to the extent the position requires such certifications, degrees, or licenses.Specific RequirementsMust be a supportive team member, contribute to and be an example of teamwork and team concept.Must possess the ability to make independent decisions when circumstances warrant such action.Must possess the ability to deal tactfully with customers, personnel, residents, family members, visitors, government agencies/personnel, and the general public.Must not pose a direct threat to the health or safety of other individuals in the workplace.Physical and Sensory Requirements (with or without reasonable accommodation) (With or Without the Aid of Mechanical Devices)Must be able to move intermittently throughout the workday.Must be able to read, speak, and understandably write the English language.Must be able to cope with the mental and emotional stress of the position.Must function independently, and have flexibility, personal integrity, and the ability to work effectively with customers, residents, personnel, and support agencies.Must meet the general health requirements set forth by the policies of this company, which include a medical and physical examination if the position requires.Must be able to push, pull, move, and/or lift a minimum of 50 pounds to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet.All Other Duties as Assigned.I understand this job description and its requirements;
