Job description

Interim with the potential to be a permanent role longer term.

We are working with a prominent international arts organisation to find an interim Finance & Administration Manager to support the financial and administrative operations of a growing portfolio of Miami-based programmes and initiatives. This is a hands‑on appointment for a nonprofit finance professional who is as comfortable with the technical detail of grants compliance as they are keeping the everyday administrative machinery running smoothly, someone who thrives as the financial backbone of a lean, mission‑driven team.

This is a rare opportunity to support a new public‑facing initiative at a globally recognised cultural institution, working closely with senior leadership, project teams and the Board.

About the Finance & Administration Manager Role

Based in the organisation's New York City office, this role combines financial planning, project controlling, grants management, Board support and organisational administration. Day‑to‑day accounting, bookkeeping, tax filings and regulatory compliance are managed by an external CPA firm; this role serves as the internal owner of budgeting, forecasting, grants administration, financial oversight and Board reporting. Working closely with leadership, project teams, Board members and external accounting partners, you will help ensure strong financial stewardship, compliance and operational effectiveness through a multi‑month period of programme delivery and post‑event reporting.

Key Responsibilities
  • Manage grants throughout the full lifecycle, including budgeting, tracking, reporting and compliance
  • Monitor restricted funding and ensure compliance with grant requirements and funding agreements
  • Support governance, regulatory and compliance requirements associated with grant‑funded and mission‑driven initiatives
  • Prepare financial reports and maintain audit‑ready documentation
  • Coordinate with external advisors and stakeholders to support reporting, audit and compliance obligations
  • Support budgeting, forecasting and financial planning across a range of projects and entities as needed
  • Provide financial reporting and updates to the Board and senior leadership
About You
  • Significant experience in finance, FP&A, financial business partnering, project controlling, grants management, nonprofit finance or a related field
  • Strong understanding of grant‑funded organisations, nonprofit organisations, foundations or mission‑driven entities
  • Experience managing foundation, government, public‑sector, philanthropic or other restricted grant funding programmes
  • Experience supporting Boards, governance activities and stakeholder reporting
  • Familiarity with nonprofit financial management principles, including restricted funding, grant compliance and donor reporting
  • Strong budgeting, forecasting, financial analysis and financial modelling skills
  • Advanced Excel proficiency and experience with financial systems and reporting tools
  • Experience working in a small organisation, foundation, nonprofit, startup or entrepreneurial environment where hands‑on ownership was required
  • Experience supporting arts, cultural, educational, community‑focused or event‑based organisations is highly desirable
  • Comfortable with an interim/contract engagement and available to see a project through its post‑event compliance and reporting tail
