Job summary

Qualifications

  • Demonstrated knowledge of grant accounting principles, general ledger accounting, reconciliations, financial reporting, and budget monitoring.
  • Experience with federal, state, local, private, or foundation grants, including reporting, compliance, and closeout requirements.
  • Working knowledge of Uniform Guidance, including 2 CFR Part 200.
  • Proficiency with Microsoft Excel and financial systems.

Responsibilities

  • Oversee accounting and financial administration for federal, state, local, private, and foundation grants throughout the full grant lifecycle.
  • Ensure grant revenues, expenditures, receivables, deferred revenue, and related balance sheet accounts are recorded accurately and reconciled timely.
  • Prepare, review, and submit reimbursement requests, invoices, drawdowns, financial reports, and required documentation by established deadlines.
  • Monitor grant budgets, spending activity, and funding restrictions to ensure costs are allowable, allocable, reasonable, and compliant with grant requirements.
  • Partner with program leaders and operational departments to review grant performance, explain budget variances, forecast spending, and recommend corrective actions.
  • Support grant proposal budgets, grant closeout activities, audits, compliance reviews, and funder reporting requirements.
  • Develop and improve grant accounting procedures, internal controls, reporting tools, and training materials.
  • Provide guidance, coaching, and supervision to assigned grant accounting staff and support professional development.

Overview

We are seeking an experienced Manager-Grant Accounting to provide leadership and oversight for the financial administration, accounting, reporting, billing, and compliance of grants and restricted funding across the organization. This role is responsible for ensuring grant funds are accurately recorded, monitored, billed, and reported in accordance with grant agreements, applicable regulations, internal policies, and generally accepted accounting principles.

The Manager-Grant Accounting will work closely with Finance, Operations, Program Leadership, Development, Compliance, and external funding agencies to support responsible stewardship of grant resources. This position plays an important role in strengthening reimbursement processes, improving cash collections, reducing compliance risk, and supporting the organization’s ability to manage and secure grant funding effectively.

Key Responsibilities

  • Experience in a healthcare, nonprofit, academic medical center, government, or highly regulated environment.
  • Experience supporting Single Audits, grantor audits, or compliance reviews.
  • Familiarity with cost allocation methodologies, restricted fund accounting, reimbursement-based grants, and indirect cost recovery.
  • Experience with enterprise resource planning systems, grant management systems, or reporting tools.
Knowledge, Skills, And Abilities
  • Strong analytical, problem-solving, and financial review skills with excellent attention to detail.
  • Ability to interpret grant agreements, funding requirements, financial data, and accounting guidance.
  • Excellent written and verbal communication skills, including the ability to explain financial information to non-financial stakeholders.
  • Strong organizational skills with the ability to manage multiple deadlines, reporting cycles, and priorities.
  • Commitment to compliance, accountability, transparency, and sound internal controls.
  • Collaborative leadership style with the ability to build effective relationships across finance, operations, programs, and external partners.
Working Conditions

This position generally works in a professional office environment and may require extended periods of computer use. Occasional evening or weekend work may be required to meet grant reporting deadlines, audit requests, month-end close requirements, or urgent funding agency needs.
