Job summary

Velox is seeking a Project Coordinator to support fiber and utility construction projects, coordinating workflows, tracking production and documentation, and assisting with billing and closeout activities.

The role requires strong organizational skills, attention to detail, and effective communication as you work with field operations, project management, engineering, subcontractors, clients, and internal teams to keep projects moving from start to finish.

Qualifications

• Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines.
• Strong written and verbal communication skills.
• Ability to independently manage assigned workflows and take ownership of project needs.
• Experience in telecommunications, fiber construction, or utility construction is preferred.
• Experience with construction billing, locates, permitting, subcontractor coordination, redlines, as-builts, or closeouts is preferred.
• Proficiency with spreadsheets and project tracking systems.

Responsibilities

• Coordinate and track multiple fiber and utility construction projects throughout the lifecycle.
• Monitor schedules, milestones, production, deliverables, and completion status.
• Coordinate utility locates, permits, work orders, and other requirements.
• Review daily production reports and project photos to verify work.
• Prepare and process billing documentation based on verified work.
• Track changes, change orders, and billing status.
• Coordinate with subcontractors and field teams to track production and documentation.
• Maintain redlines, as-builts, and other project documentation.
• Maintain trackers, spreadsheets, Smartsheet dashboards, and reporting systems.
• Compile closeout packages including permits and testing documentation.
• Maintain accurate project files and document version control.
• Resolve issues across field operations, engineering, and management to keep projects moving.
• Ensure documentation meets client requirements and QA/QC standards.
• Identify opportunities to improve workflows, reporting, and documentation.
