Job summary

The Digital Worlds Institute at the University of Florida seeks a Federal Work Study-eligible student assistant to join the department as an Office Assistant. You will serve as the first point of contact for visitors, answer calls, manage mail and packages, and support staff with events and daily operations on the Main Campus (Gainesville, FL).

You will assist DW faculty and staff with various tasks, maintain reception area, and help ensure smooth department functioning while upholding UF’s

  • Evidence of organizational ability, diligence, and dependability.

Responsibilities

  • Greet all visitors to the Digital Worlds Institute, directing or aiding guests as needed.
  • Reply to and direct calls, addressing inquiries and messages appropriately and accurately.
  • Secure access to main entrances and facility spaces by locking and unlocking doors.
  • Manage printing, scanning, and filing of Institute documents.
  • Review/sign for packages, sort incoming mail, and assist in processing outgoing mail.
  • Manage the department’s equipment check-in and check-out process.
  • Assist Institute staff and faculty during special events held by the department or college.
  • Ensure the cleanliness and upkeep of the department’s office and kitchen areas as needed.
  • Other duties as assigned by department.

Classification Title:

The Digital Worlds Institute (DW) in the College of the Arts seeks a Federal Work Study-eligible student assistant to join the department as an Office Assistant. Student employees who hold this position often serve as a first point of contact for the public, guests, prospective and incoming students, and DW faculty & staff. In addition to covering the DW reception area, our new colleague will assist DW faculty and staff with other projects assigned based on area needs. The successful candidate will be an important member of the DW team and is crucial to our department's functioning and to supporting our students, faculty, and staff.

Required Qualifications:

  • Availability in schedule to work on weekdays (Mondays – Fridays), between 8:30 a.m. and 5:30 p.m. (preferably in 4-hour shifts; shifts may vary) for a minimum of 9 hours per week
  • Federal Work Study award preferred [valid Award Summary Page confirming Federal Work Study]
  • Proficient in Microsoft Office Suite programs (Outlook, Word, Excel).
  • Evidence of organizational ability, diligence, and dependability
Preferred
  • Eligible for Federal Work-Study
  • Experience working with Microsoft TEAMS and Google Drive to collaborate with department staff and faculty
  • Proficiency in Adobe Creative Cloud Suite (Premiere Pro, Photoshop, Illustrator) and Canva
  • Experience in secretarial, clerical, and/or customer service.
  • Experience with Adobe Acrobat
