Job Description:

This position manages the School of Communication’s (SOC) facultyactions involving part-time (adjunct and visiting scholars) andfull-time appointments, reappointments, promotions, leaves,searches and awards. The coordinator produces key academic analysesand management reports and manages other administrative matters forSOC’s Associate Dean for Academic Affairs and Associate Dean forFaculty Affairs. The incumbent is responsible for maintenance andupdating of master faculty databases, directories and the SOCfaculty actions calendar. This position also serves as SOC’sliaison to the Office of the Dean of Faculty, the Office of HumanResources, Payroll, and the Office of International Student andScholar Services. The position helps the Dean’s Office ensurefaculty compliance with AU and SOC policies and regulations.

Essential Functions:
1.) Faculty Actions
  • Coordinates the processing of full time, term, in-residence,postdoctoral/postgraduate research fellows, and internationalvisiting scholar faculty actions on behalf of the Dean’s Office,School of Communication. Ensures accuracy and compliance withUniversity regulations. Works with the SOC division directors andprogram directors and faculty on faculty actions, leaves,recruitment and rank and tenure matters. Responsible formaintaining faculty records and preparing full-time facultystipend, supplemental salary, and adjunct payroll actions. DraftsDean’s memos for faculty administrative appointmentagreements.
2.) Faculty Recruitment and Hiring
  • Coordinates faculty searches and provides guidance anddirection to division directors and search committees on facultyrecruitment procedures, including advertising, affirmative actioncompliance and document retention, to ensure proper procedures arefollowed by all participants. Communicates with applicants andsearch committee members throughout the search process. Providesadministrative support for searches as needed (e.g., makesarrangements for candidate travel and lodging, meals, roomreservations; develops and manages candidate itineraries). Reviewsoffer letters, contracts and new appointment files for accuracy andcompleteness. Processes hiring actions.
3.) Academic Affairs Administrative Support
  • Manages administrative functions under the guidance of theAssociate Dean to support academic affairs activities. Creates andimplements a SOC master schedule for faculty actions during theacademic year. Functions as a School resource on University FacultyRegulations, as well as School and division processes. Recordsminutes at SOC faculty meetings and manages faculty votingprocess.
4.) Reporting and Data Management
  • Records minutes at SOC faculty meetings and manages facultyvoting process. Maintains and updates master full-time facultycontact databases, listservs and faculty directories. Updatesfaculty workload report and tracks and analyzes faculty externallyfunded allowable research effort and course buyouts. Providesannual and other (e.g., course load) reports to the Dean and theAssociate & Assistant Deans as required for internal reviewprocesses and other activities.
5.) Other Duties as Assigned
  • Other duties and services assigned to support of the School’sstrategic priorities.

Position Type/Expected Hours of Work
  • Full-time.
  • 35 hours per week.
  • Some occasional evening and weekend work may be required.
Salary Range
  • $28.00 - $30.00 per hour.
Required Education and Experience
  • Bachelor's degree.
  • 1 - 3 years of relevant experience.
Preferred Education and Experience
  • 2 - 4 years of relevant experience.
Additional Eligibility Qualifications
  • Employees in the School of Communication are required to workon campus in a full presence modality for the first month of theiremployment.
  • Excellent interpersonal and written communication skills.
  • Strong organizational skills with proven ability to multi-taskand work independently to complete tasks in a dynamicenvironment.
  • Demonstrated ability to successfully work as a member of a teamin a community that values and actively supports diversity andinclusion.
  • Good judgement and discretion with sensitive and confidentialmatters.
  • Advanced computer proficiency required, including knowledge ofbuilding and manipulating spreadsheets in Excel, creating andediting presentations using PowerPoint, and the ability to conductInternet research.
  • Must be able to take initiative, prioritize, and complete workwith minimal supervision in a fast-paced environment.
  • Knowledge of higher education policies regarding facultycompensation, collective bargaining agreements, researchadministration a bonus.
