Job summary

PHD Services seeks a Facilities Support Team Member to ensure day-to-day office operations and spaces are well-maintained and stocked. You will coordinate furniture moves, assist relocations, assemble furniture, and manage supplies while coordinating with executives and vendors.

You will read plans and layouts to support occupancy auditing, signage installation, and life-safety procedures, communicating effectively with customers and staff to maintain a smooth corporate environment.

Qualifications

  • Associate's degree in a computer-related field or equivalent training preferred.
  • Experience coordinating multiple projects in an office environment.
  • Proficiency with Microsoft Office 365 (Excel, Word).
  • Ability to read architectural plans, layouts, and facility maps.

Responsibilities

  • Coordinate workspace changes including furniture moves, equipment relocation, and office reconfigurations
  • Assist employees relocating to/from the office by providing boxes, labels, and hands-on support
  • Assemble office furniture and equipment; use basic hand tools to complete tasks
  • Hang whiteboards, pictures, signage, and other wall-mounted fixtures as needed
  • Maintain office and breakroom supplies and ensure conference rooms remain stocked and orderly
  • Receive, distribute, and track supply and equipment deliveries
  • Work with Executive Assistants and staff on meeting room setups, event and catering coordination
  • Escort tradespeople and visitors throughout the facility when required
  • Coordinate with outside vendors for specialized maintenance and repair needs
  • Provide on-call support to building leadership for urgent needs
  • Support office safety procedures and building emergency / life safety protocols

Description

This role supports day-to-day facility operations within a corporate office environment. The Facilities Support Team Member ensures workspaces are well-maintained, properly supplied, and set up to support employees, visitors, and leadership teams. The position requires strong customer service skills, hands-on capabilities, and the ability to coordinate with internal teams and external vendors.

Key Responsibilities
  • Coordinate workspace changes including furniture moves, equipment relocation, and office reconfigurations
  • Assist employees relocating to/from the office by providing boxes, labels, and hands-on support
  • Assemble office furniture and equipment; use basic hand tools to complete tasks
  • Hang whiteboards, pictures, signage, and other wall-mounted fixtures as needed
  • Maintain office and breakroom supplies (paper, pens, beverages, snacks, etc.) and ensure conference rooms remain stocked and orderly
  • Receive, distribute, and track supply and equipment deliveries
  • Work with Executive Assistants and staff on meeting room setups, event and catering coordination, and general workspace needs
  • Escort tradespeople and visitors throughout the facility when required
  • Coordinate with outside vendors for specialized maintenance and repair needs
  • Provide on-call support to building leadership for urgent building or workspace needs
  • Support office safety procedures and building emergency / life safety protocols
Requirements
  • Associate's degree in a computer-related field or equivalent training preferred.
  • Previous experience working in an office environment with demonstrated ability to manage multiple small and large projects simultaneously through completion
  • Proficient in Microsoft Office 362, including Excel and Word; additional application knowledge is beneficial.
  • Ability to read architectural plans, layouts, and facility maps to support occupancy auditing and signage installation activities.
  • Strong written and verbal communication skills with the ability to interact effectively with customers, team members, and internal stakeholders.
  • Demonstrated ability to work independently, manage time effectively, and self-direct work with minimal supervision.
  • Strong attention to detail with the ability to follow established project procedures, design standards, and best practices.
  • Good interpersonal skills with the ability to develop and maintain a cooperative team environment.
  • Valid driver's license required.
  • Must meet all critical safety requirements per location.
