Job summary

Envelop Group in Indianapolis, IN is seeking a Service Coordinator to manage service requests, schedule technicians, and maintain records. You will liaise with customers, service technicians, and other departments to ensure timely resolutions and proper documentation.

The ideal candidate has 2+ years in an office setting, strong communication, and MS Office proficiency; HVAC knowledge is a plus and Service Trade experience is preferred.

Qualifications

• High School Diploma or equivalent is required; Associate's degree preferred.
• 2+ years of professional experience in an office setting.
• Knowledge of HVAC, low-voltage, and related service experience preferred.
• Experience with Service Trade or similar field service management software preferred.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
• Ability to work in a fast-paced environment with minimal supervision.
• Excellent customer service and strong communication skills.

Responsibilities

• Actively engage with customers and vendors via phone/email to identify needs and resolve issues.
• Create and optimize service schedules and technician dispatches for efficiency.
• Dispatch field technicians and subcontractors as needed for repairs.
• Create/update/maintain work orders with customer details and status.
• Generate and track contract proposals for recurring service agreements.
• Enter service plans into the Service Trade system and track progress.
• Ensure paperwork from technicians, invoices, and equipment info is complete.
• Process weekly/daily billing and follow up on outstanding AR.
• Maintain documentation for parts and warranties in the accounting system.
• Participate in training, team meetings, and company events.
