Facility Coordinator Summary
Clean Harbors is seeking a detail-oriented Facility Coordinator to support the daily administrative and operational activities of our facility. This is a cross-functional role for someone who wants to become an integral part of the facility team rather than focus on one specific task or area. The Facility Coordinator will learn and support multiple areas of the operation, including shipping and receiving documentation, hazardous waste shipping activities, inventory tracking, facility records, and other operational needs.
Schedule: Monday - Friday | 7:00 AM - 4:00 PM | Occasional weekend hours may be required based on business needs.
The ideal candidate is self-motivated, organized, and takes ownership of their work. This position is well-suited for someone who enjoys learning new processes, asks thoughtful questions, seeks out resources when needed, and is eager to become a well-rounded member of the operations team by learning all aspects of the role.

Responsibilities
- Coordinate daily receiving and shipping documentation to support facility operations.
- Maintain a working knowledge of plant receiving procedures, drum staging, profile access, and document printing.
- Perform accurate data entry into PowerSuite, WIN, Outlook, and other company databases.
- Prepare, print, and process outbound hazardous waste manifests, shipping papers, and labels.
- Organize, maintain, and file facility documentation, including receiving, shipping, and Truck-to-Truck paperwork.
- Maintain trailer inventory records and update shared tracking files.
- Scan and monitor storage areas and maintain accurate inventory documentation.
- Create Transportation of Potentially Rejected (TPO) shipping paperwork for rejected materials.
- Assist with supply inventory and ordering within assigned areas.
- Maintain clean, organized, and compliant work areas in accordance with company housekeeping standards.
- Collaborate with operations personnel to ensure accurate documentation and regulatory compliance.
- Cross-train in multiple facility functions to provide operational support as business needs evolve.
- Perform additional administrative or operational duties as assigned.
Qualifications
- High school diploma or equivalent required.
- 0-3 years of experience in an administrative, logistics, warehouse, shipping/receiving, or operations support role preferred.
- Proficiency with Microsoft Office applications, including Outlook, Excel, and Word.
- Strong computer and data entry skills.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong verbal and written communication skills.
- Ability to work independently while collaborating effectively with cross-functional teams.

Physical Requirements
- Primarily sedentary office position.
- Ability to sit for extended periods while performing computer work.
- Frequent computer usage and data entry.
- Occasional walking throughout the facility.
- Occasional reaching and light lifting up to 10 pounds.
- Ability to communicate effectively by telephone and virtual meeting platforms.
- Ability to read detailed documents and perform work requiring close visual attention.
