The Facility Coordinator serves as a key member of the North America Facilities team and is responsible for supporting the governance, implementation, and continuous improvement of facilities operations across the United States and Canada. Reporting to the Director of Facilities, this role acts as the primary liaison between internal stakeholders and the outsourced Facilities Management (FM) service provider, ensuring consistent service delivery, operational excellence, financial accountability, and alignment with organizational objectives.
This position plays a critical role in the deployment and ongoing management of the organization's enterprise-wide Facilities Management program, driving standardized processes, performance management, reporting, and continuous improvement initiatives across a diverse real estate portfolio.
Key Responsibilities
Facilities Program Management
- Support the Director of Facilities in the execution and governance of the North America Facilities Management Program.
- Coordinate implementation and adoption of facilities management initiatives across multiple locations.
- Develop and maintain program schedules, project plans, governance frameworks, and communication plans.
- Track milestones, risks, issues, and action items to ensure program objectives are achieved.
- Assist in change management efforts and stakeholder engagement activities during program rollouts.
- Ensure adherence to established facilities policies, standards, and operating procedures.
- Serve as the primary day-to-day contact for the outsourced Facilities Management provider.
- Facilitate weekly operational reviews, Monthly Business Reviews (MBRs), and Quarterly Business Reviews (QBRs).
- Monitor vendor performance against contractual obligations, service level agreements (SLAs), key performance indicators (KPIs), and compliance requirements.
- Partner with procurement team, suppliers, and service providers to resolve operational issues and improve service delivery.
- Manage escalation processes and communicate operational risks and recommendations to leadership.
- Drive accountability and performance improvement through corrective action planning.
Facilities Operations
- Support the management of preventive, predictive, and corrective maintenance programs.
- Monitor work order performance, service responsiveness, and maintenance compliance metrics.
- Coordinate resolution of facility-related issues with internal stakeholders and external service providers.
- Partner with operation excellence teams to promote operational consistency and best practices across all locations.
- Assist with emergency preparedness, business continuity planning, and facility incident response activities.
- Support office moves, renovations, expansions, acquisitions, and other facilities-related projects.
- Review monthly operating expenses, maintenance costs, and vendor invoices for accuracy and compliance.
- Assist in budget development, forecasting, accrual management, and financial planning activities.
- Monitor spending trends and identify opportunities for cost optimization and operational efficiencies.
- Track savings initiatives and support implementation of cost-reduction strategies.
- Prepare financial reports, analyses, and executive-level summaries for leadership review.
Governance, Analytics & Reporting
- Maintain facilities governance documentation, standard operating procedures (SOPs), playbooks, and escalation protocols.
- Develop and maintain KPI dashboards and operational performance reporting.
- Analyze trends related to customer satisfaction, service delivery, preventive maintenance compliance, work order management, and vendor performance.
- Prepare presentations and performance reports for senior leadership and business stakeholders.
- Ensure reporting accuracy and consistency across the North America portfolio.
- Support administration of Facilities Management technologies, CMMS platforms, and reporting systems.
- Maintain accurate facility, equipment, and asset records.
- Assist with implementation of new technologies, system enhancements, and process automation initiatives.
- Leverage Power BI, Excel, and other analytical tools to improve reporting visibility and decision-making.
- Ensure data integrity across facilities systems and databases.
Cross-Functional Collaboration
- Partner with Real Estate, Finance, Procurement, Operations, Information Technology, Human Resources, Legal, Security, Safety and
- Project Management teams.
- Support strategic initiatives that impact facilities operations and workplace services.
- Coordinate activities among stakeholders to ensure successful execution of facilities programs and projects.
- Foster strong relationships with business leaders to understand operational requirements and support organizational objectives.
- Identify and implement opportunities to improve facilities operations, vendor performance, and customer experience.
- Recommend process enhancements that drive efficiency, consistency, and scalability.
- Support benchmarking efforts and adoption of industry best practices.
- Contribute to the long-term development and maturity of the North America Facilities Management Program.
Qualifications
Education
- Bachelor's degree in Facilities Management, Business Administration, Engineering, Construction Management, Real Estate, or a related discipline preferred.
- Facilities Management certifications (FMP, SFP, CFM, IFMA, BOMI, or equivalent) are desirable.
Experience
- 3-5 years of progressive experience in facilities management, workplace operations, vendor management, program management, corporate real estate, or a related field.
- Experience supporting multi-site portfolios across multiple geographic regions.
- Experience managing outsourced Facilities Management service providers preferred.
- Demonstrated experience coordinating cross-functional initiatives and managing competing priorities in a fast-paced environment.
Technical Skills
- Advanced proficiency in Microsoft Excel, PowerPoint, and Project.
- Experience with Power BI or similar business intelligence and reporting platforms.
- Working knowledge of CMMS, IWMS, and work order management systems.
- Strong financial analysis, budgeting, forecasting, and reporting capabilities.

- May require availability outside normal business hours to support emergency response activities, critical facility issues, or business continuity events.
