Job description

EMCOR Facilities Services (EFS), an EMCOR core business, services over 1 billion square feet of commercial space across the United States. From corporate campuses to single sites, EFS provides a range of services that support mission-critical areas of financial services, manufacturing, pharmaceutical, transportation, and education sectors.

Job Title: Facility Coordinator

Job Summary:

This position is responsible for facilities coordination at the assigned facilities – including, but not limited to: managing local work order completion, providing customer follow-up, and running operations. The ideal candidate will efficiently coordinate third party vendors and work with both internal and external customers including school directors and EMCOR facility managers.

Essential Duties and Responsibilities:

  1. Create and manage assigned work orders to completion; follow-up with vendor and client.
  2. Communicate/escalate with appropriate parties (FM, customer, vendors, etc.) as needed.
  3. Resolve third party invoices by working with the account team and Accounts Payable.
  4. Respond to emergencies pertaining to fire/life/safety, appliances, pest control and landscape/snow services during designated hours.
  5. Create and submit expense/capital approval forms to support internal facility managers.
  6. Reconcile and process consolidated invoices for national account vendors.
  7. Manage customer specific and internal specific contact information identified in the work order management system.
  8. Manage additional projects as necessary.
  9. Attend meetings, take notes and help plan internal/external conferences as needed.
  10. Other duties as assigned.

Qualifications:

  1. Associate's degree (A. A.) or equivalent from two-year College is mandatory; a Bachelor's Degree preferred.
  2. 1-3 years of experience in a professional, fast-paced environment.
  3. Valid driver’s license.
  4. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
  5. Must be able to adapt to rapidly changing situations.
  6. Possess the ability to work overtime on short notice.
  7. Must be self-motivated and have the ability to handle multiple jobs with minimal supervision.
  8. Experience in Microsoft Office (Outlook, Excel, Word, etc.) required.
