Job Description Summary
The Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. Supports the facility management team with ongoing facility and team-related responsibilities.
Responsibilities
- Provide general facility management services, including monitoring of office/facility operations.
- Address client inquiries and concerns, ensuring timely resolution and quality service.
- Follow up with clients to ensure satisfaction.
- Respond to facility inquiries and complaints, assess problems, and take corrective actions.
- Maintain knowledge of all operational aspects of building systems.
- Coordinate with outside contractors for service and repairs.
- Follow protocols for building maintenance and safety procedures.
- Communicate regularly with contractors, clients, and team members.
- Assist with site inspections within the assigned building portfolio.
- Create and assign work orders to engineering staff, subcontractors, and vendors.
- Report on work order status and follow up as needed.
- Review and process work orders, bids, and proposals from vendors.
- Verify invoice pricing and process payments promptly.
- Monitor and evaluate vendor performance.
- Train vendors on work order and billing procedures.
- Manage complex work orders, including environmental issues and disaster recovery.
- Oversee vendor and landlord services to ensure timely job completion.
- Maintain written communication with all parties involved.
- Schedule and document maintenance and repairs.
- Communicate regularly with clients, landlords, and vendors to resolve issues and update on project status.
- Provide training and guidance to new staff on processes and procedures.
- Coordinate special events supporting the client.
- Assist in measuring and reporting key performance indicators against service level agreements.
- Provide facilities helpdesk services and monitor workflow to ensure quality service.

Compensation varies based on location, experience, and other factors, with a minimum wage guarantee. The offered salary range is $25.24 to $25.24 per hour.
