Job summary

Cushman & Wakefield is seeking a Facility Coordinator to assist the Facility Manager in delivering contracted facility management services at an assigned building. You will support maintenance, office services, and project tasks while supervising 3-4 staff, coordinating service requests, and ensuring safety and quality standards.

The role requires 2+ years in facility/property management, familiarity with CMMS and Microsoft Office, and the ability to lift 50 lbs.

Qualifications

  • At least 2 years of experience in facility or property management in admin/technical roles.
  • Basic knowledge of standard maintenance practices and standards.
  • Understand financial terms and calculations.
  • Experience using a computer or smart device for work orders, email, and safety training.
  • Intermediate skills with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Physical ability to lift 50 lbs, climb stairs/ladders.
  • Ability to read simple building system blueprints.
  • Ability to write routine reports and present information to small groups.
  • Valid state driver’s license.

Responsibilities

  • Support client catering requests, office moves and event support as primary contact for office services.
  • Supervise a team of 3-4 office services staff.
  • Review and assign service requests, estimating time and materials needed.
  • Prioritize service requests and follow up on site issues.
  • Order materials and assist with inventory control.
  • Provide hands-on support completing service requests as assigned.
  • Plan and schedule maintenance to meet service level agreements.
  • Assist in maintenance quality program management.
  • Oversee and inspect work by outside contractors.
  • Assist in budgeting with Facility Manager.
  • Maintain maintenance logs using the CMMS.
  • Manage maintenance SOP library and train staff on compliance.
  • Act as backup to Facility Manager and main client contact.
  • Promote safety-first culture.

Job TitleFacility Coordinator Job Description SummaryThe Facility Coordinator is responsible for assisting the Facility Manager with administering and delivering contracted facility management services at an assigned building(s), including facility maintenance, construction/project support, mailroom operations and office services functions. The Facility Coordinator must be detail oriented, work with a sense of urgency, and communicate effectively. This position will work closely with C&W Services management and client contacts to ensure all work assignments and projects are completed in a timely manner in line with the set quality standards.

Principal Duties & Responsibilities
  • Supports the fulfillment of client catering requests, office moves and event support while acting as the client’s primary point of contact for all office services related requests
  • Supervise a team of office services staff – 3-4 employees
  • Reviews and assigns service requests while estimating the time and materials needed to complete requests
  • Prioritizes service requests and provides follow-up on outstanding site issues as needed
  • Orders materials and supplies and assists with material inventory control program management
  • Provide hands on support completing assigned service request as assigned
  • Plans and schedules maintenance tasks to ensure compliance with set service level agreements
  • Assists in the management of the maintenance quality program
  • Oversees and inspects the work performed by assigned outside contractors
  • Works with the Facility Manager in planning and controlling annual and capital budgets
  • Prepares and maintains maintenance logs and records as required using the computerized maintenance management system (CMMS)
  • Manages the maintenance SOP library and trains members on compliance
  • Acts as the Facility Manager's primary backup managing personnel and as the client's primary point of contact
  • Promotes a safe work environment by promoting a safety-first culture
Experience & Requirements
  • A minimum of 2 years of experience in facility management or property management in administrative and/or technical roles
  • Requires basis knowledge of standard maintenance practices and standards
  • Requires basic knowledge of financial terms and principles. Ability to calculate simple figures
  • Experience using a personal computer and/or smart device for work order management, email, and safety training
  • Intermediate skills with Microsoft Office - Outlook, Word, Excel, Power Point
  • Physical requirements include stooping, standing, walking, climbing stairs/ladders and ability to lift/carry heavy loads of 50 lbs.
  • Ability to read simple building system blueprints and schematics
  • Ability to write routine reports and correspondence
  • Ability to effectively present information to small groups
  • Possession of a valid state driver's license

The company will not pay less than minimum wage for this role. The compensation for the position is: $28.05 - $33.00.
