Job description

POSITION OVERVIEW: Facilities Manager – Central Office
Under the direction of the Facilities leadership team, the Facilities Manager is responsible for overseeing the safe repair, restoration, rebuilding, and/or replacement of faulty or inoperative building systems and equipment across the district. This role supervises all custodial and maintenance personnel and ensures that all PPS facilities are properly maintained, cleaned, and secured. The Facilities Manager provides leadership and coordination for maintenance and custodial operations across 20 school district buildings, ensuring facilities are functional, safe, and supportive of the district’s educational mission.

ESSENTIAL RESPONSIBILITIES:

  • Maintain day-to-day operations of all district facilities, including delegating work orders and overseeing cleaning schedules
  • Monitor the safety, cleanliness, and functionality of interior and exterior spaces such as classrooms, offices, conference rooms, gymnasiums, auditoriums, and parking lots
  • Establish custodial standards and performance outcomes for each PPS facility
  • Manage and support a diverse team of maintenance and custodial staff, fostering an inclusive and respectful work environment
  • Provide ongoing coaching, counseling, and performance feedback to maintenance and custodial staff
  • Assist in the development and management of the district’s custodial and maintenance budgets
  • Support vendor and contractor management by evaluating product and equipment effectiveness for the safe and efficient operation of PPS facilities
  • Create and maintain reports related to maintenance activities, repairs, safety concerns, and facility conditions for leadership and relevant staff
  • Evaluate work requests, consult with building users, and recommend approval or alternative solutions as appropriate
  • Prepare basic drawings or diagrams as needed to illustrate maintenance and repair plans
  • Ensure work areas are safe and organized, including proper storage and use of equipment and materials
  • Perform other related duties as assigned to support the smooth operation of facilities
  • Be available to work a flexible schedule and remain on-call 24/7 to respond to and advise on district facility emergencies

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Thorough knowledge of standard methods, materials, and tools of the building trades, with particular emphasis in maintenance of building structures, fixtures, and equipment
  • Strong problem-solving capabilities and analytical thinking to help analyze any situation and find a solution promptly
  • Ability to read and work from blueprints and sketches
  • Knowledge of work order management systems
  • Ability to effectively lead maintenance/custodial staff and contractors to effectively and efficiently complete required work
  • Good interpersonal, communication, and computer skills

EDUCATION, TRAINING, AND EXPERIENCE:

  • High school diploma or GED required
  • Minimum 7-10 years of facility management experience as well as supervising custodial personnel and managing operations budgets
  • Minimum of 5-7 years of supervisory experience is required

PHYSICAL DEMANDS:

  • Requires walking over rough, uneven, and rocky surfaces at construction sites, climbing ladders and scaffolding, and accessing roofs for inspections
  • Occasional exposure to a variety of weather conditions
  • Exposure to heated/air-conditioned and ventilated facilities
  • Exposure to buildings in which a variety of chemical substances are used for cleaning, instruction, and/or operation of equipment
  • Sufficient physical strength to permit lifting and moving of heavy objects

CREDENTIAL REQUIREMENTS:
  • Valid Maine non-commercial Class C driver's license, or equivalent
  • ?ISSA certification or completion within 180 days of being hired
  • Maine State fingerprint (CHRC) authorization. Total cost: $70. (More info here.)

SPECIAL REQUIREMENTS:

  • Requires traveling to school facilities on a frequent and unscheduled basis
  • Class C driver’s license and a clean driving record
  • Must pass a criminal background check

EMPLOYMENT DETAILS:
  • Year-round position

  • Full Time, 1.0 FTE
  • Non-represented
  • Not eligible for overtime
  • Salary range: $70,000 to $90,000 (depending on relevant experience)
