Job description

The Facilities Manager is responsible for the safe, efficient, and professional operation of the corporate headquarters. This role oversees facility operations, workplace services, vendor management, space planning, budget administration, emergency preparedness programs, and workplace communications. The Facilities Manager serves as a key liaison between employees, building management, vendors, Corporate Security, and leadership to ensure a high-quality workplace experience and support business operations. This role will sit out of our Seattle HQ office and will be expected to be in the office 5 days a week, Monday through Friday.

Key Responsibilities
Facility Operations & Workplace Services
  • Manage day-to-day headquarters operations to maintain a safe, clean, and efficient workplace.
  • Coordinate facility maintenance, repairs, inspections, and service requests with property management and vendors.
  • Oversee workplace amenities and services, including conference rooms, furniture, coffee service, vending, parent rooms, bicycle storage, and employee support areas.
  • Lead office space planning, employee moves, departmental relocations, and furniture installations.
  • Identify and implement workplace improvements that enhance the employee experience.
Vendor & Contractor Management
  • Serve as the primary contact for facility-related vendors and service providers.
  • Manage relationships with landlords, property managers, janitorial services, maintenance contractors, furniture vendors, mail providers, and other partners.
  • Monitor vendor performance and ensure compliance with contractual agreements.
  • Coordinate recurring services and facility projects to support operational needs.
Safety, Security & Emergency Preparedness
  • Partner with Corporate Security and Building Services to support workplace safety and security programs.
  • Coordinate emergency preparedness initiatives, including Floor Warden, CPR/First Aid, AED, and emergency supply programs.
  • Support badge access administration, safety committee activities, and compliance requirements.
  • Assist with emergency communications and incident response activities.
Executive & Employee Support
  • Coordinate facility support for executive leadership, the Board of Directors, and employees.
  • Support board meetings, executive events, workplace initiatives, and special projects.
  • Ensure meeting rooms and common areas are maintained and event ready.
  • Serve as a resource for facility-related questions and workplace support needs.
Budget & Administrative Management
  • Support annual operating budgets, forecasting, and expense management activities.
  • Review and process invoices, reconcile purchasing card transactions, and monitor recurring expenses.
  • Assist with month-end and year-end financial activities, including accrual reporting.
  • Maintain facility records, permits, licenses, subscriptions, operational documentation, and SharePoint resources.
Workplace Programs & Communications
  • Oversee mail, shipping, distribution, parking, and other workplace service programs.
  • Coordinate vendor relationships and operational processes supporting headquarters services.
  • Develop and distribute workplace communications, building notices, and employee updates.
  • Communicate facility projects, building access changes, and workplace initiatives to employees.
Required Qualifications
  • Five (5) or more years of experience in facilities management, workplace services, property management, building operations, or a related field.
  • Demonstrated experience leading, developing, and coaching employees while fostering a collaborative, service-oriented, and high-performing team culture.
  • Experience managing vendors, contracts, facility projects, and workplace operations.
  • Experience with budgeting, invoice processing, and expense management.
  • Strong project management, organizational, and problem-solving skills.

Preferred Qualifications
  • Bachelor's degree in Facilities Management, Business Administration, Construction Management, Property Management, Operations Management, or a related field.
  • Equivalent combination of education, certifications, and relevant experience.
  • Project Management Professional (PMP), OSHA, CPR/First Aid, or similar certifications.
  • Experience supporting a corporate headquarters environment.
  • Experience supporting executive leadership teams and Board of Directors activities.
  • Experience with workplace safety, emergency preparedness, and business continuity programs.
  • Experience working with commercial property management firms and landlords.
Knowledge, Skills & Abilities

Working Conditions

Compensation

This role is eligible for our annual merit-increase program, and we are targeting a salary range of $90,200 to $135,500 based on your level of skills, qualifications, and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 7% of base pay. Potential plan funding may range from zero to two times that target.

Retirement

Paid Time Off or Vacation

We provide eligible employees who are scheduled to work 25 hours or more per week with 3-weeks of paid vacation to use during your first year of employment. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. We also recognize eleven paid holidays per year, providing a total of 88 holiday hours.
