Job summary

Republic Bank of Chicago seeks a Facilities Coordinator to oversee contracts, maintenance, and vendor management across multiple branches. You will coordinate service providers, track invoices, and ensure facility operations align with brand standards.

Responsibilities

  • Contract Administration: Manage facility service contracts from bid through execution, documentation, and performance oversight.
  • Lead bid processes for facility services and vendor engagements.
  • Coordinate service calls and vendor support for janitorial, waste management, shredding, pest control, MFPs, ATM services, drive-thru equipment, and USPS needs.
  • Oversee procurement, delivery, installation, and maintenance of furniture, fixtures, and equipment.
  • Review, process, and track facilities, property, and utility invoices; liaise with Accounts Payable to resolve discrepancies.
  • Monitor facilities budgets and communicate variances; maintain annual capital budget for maintenance and improvements.
  • Serve as primary contact for branch construction, renovation, and facility projects; coordinate repairs and preventative maintenance.
  • Maintain facility equipment inventory and conduct regular property inspections; respond to building emergencies.
  • Maintain organized documentation for leases, contracts, COIs, inspections, and compliance requirements; support business continuity.

Facilities ManagerReports to: EVP / Chief Operating OfficerStatus: Full Time, ExemptPosition SummaryThe Facilities Coordinator plays a critical role in ensuring Republic Bank’s properties, branches, and operational spaces remain safe, functional, and aligned with brand standards. This individual manages facility-related contracts, coordinates essential services, oversees property maintenance activities, and supports financial and compliance processes that keep the bank running smoothly.
