Job summary

PRS is seeking an experienced Facilities & Property Manager to oversee the operation, safety, cleanliness, and readiness of a large multi-use community campus in New York.

You will manage daily facilities and grounds, coordinate events, supervise custodial staff, monitor building systems, ensure regulatory compliance, and work with external contractors to keep spaces welcoming and functional for programs and community activities.

Job description

We are seeking an experienced and proactive Facilities & Property Manager to oversee the operation, maintenance, safety, cleanliness, and overall readiness of a large, multi-use community campus.

This role is responsible for ensuring that all buildings, grounds, offices, meeting spaces, worship and event venues remain safe, welcoming, functional, and prepared to support a wide range of programs, services, and community activities.

The successful candidate will be highly organised, solutions-focused, and comfortable working in a dynamic environment where priorities can change quickly.

Facility Operations
  • Manage the day-to-day operation of all facilities and grounds.
  • Open, close, and secure buildings as required.
  • Ensure all areas are clean, organised, and presentation-ready.
  • Coordinate room setups and breakdowns for meetings, events, ceremonies, and community programs.
  • Monitor HVAC, lighting, plumbing, electrical, and other building systems.
  • Manage building access, keys, and security procedures.
Maintenance & Repairs
  • Perform routine maintenance and minor repairs.
  • Respond promptly to maintenance requests and facility issues.
  • Develop and manage preventative maintenance schedules.
  • Coordinate and oversee external contractors and service providers.
  • Maintain accurate maintenance records and inspection logs.
Event Support
  • Prepare facilities for regular services, meetings, conferences, special events, and community gatherings.
  • Coordinate room layouts, furniture, staging, and equipment.
  • Work collaboratively with technology teams to ensure audiovisual readiness.
  • Serve as the primary facilities contact during major events.
  • Ensure efficient turnaround of event spaces.
Custodial Oversight
  • Oversee daily cleaning and sanitation across all facilities.
  • Monitor restroom cleanliness and supply levels.
  • Supervise custodial staff and/or contracted cleaning providers.
  • Ensure waste management and sanitation standards are maintained.
Safety & Compliance
  • Ensure compliance with health, safety, fire, and occupancy regulations.
  • Conduct regular inspections of safety equipment and emergency systems.
  • Document and report facility incidents.
  • Coordinate building security requirements.
  • Enforce facility use policies and procedures.
  • Manage relationships with maintenance contractors and service providers.
  • Obtain competitive quotations and monitor contractor performance.
  • Ensure work is completed safely, on time, and to a high standard.
  • Assist with controlling maintenance costs and budgets.
Inventory & Supplies
  • Monitor and replenish maintenance, cleaning, and operational supplies.
  • Ensure departments have the resources needed to support daily operations and events.
Budget & Reporting
  • Track facility-related expenses.
  • Process purchase requests and invoices.
  • Prepare regular reports outlining maintenance activities, completed repairs, outstanding issues, and future capital needs.
