Responsibilities

  • Oversee maintenance, operation, condition, and appearance of multiple properties.
  • Inspect facilities and coordinate maintenance, repairs, preventive maintenance, and emergency response.
  • Manage lease agreements, tracking terms, renewals, obligations, and contract compliance.
  • Maintain landlord relationships and coordinate with landlords on responsibilities.
  • Source, negotiate, and manage third-party contractors, suppliers, and service providers.
  • Manage construction and improvement projects, including budgets, timelines, and scopes.
  • Collaborate with Ownership and leadership to set project scope and expectations.
  • Monitor vendor performance, costs, schedules, quality, and compliance.
  • Develop plans to improve facility efficiency, sustainability, and operating costs.
  • Forecast future facility needs and present recommendations to leadership.

Summary Of Position

The Facilities Manager is responsible for the overall management, maintenance, and improvement of multiple company properties in Michigan and out-of-state locations. This role oversees facility operations, lease administration, vendor and contractor relationships, maintenance, construction projects, and long-term facility planning. The Facilities Manager works closely with shop personnel, landlords, contractors, Owners' Representatives, local municipalities, and leadership to ensure company facilities are safe, functional, cost-effective, well-maintained, and reflective of the organization's brand, culture, and values.

Essential Duties And Responsibilities
  • Oversee the maintenance, operation, condition, and appearance of multiple company properties.
  • Inspect facilities and coordinate maintenance, repairs, preventive maintenance, and emergency response.
  • Manage lease agreements, including tracking terms, renewals, obligations, and contract compliance.
  • Maintain strong landlord relationships and partner with landlords to ensure their responsibilities and commitments are fulfilled.
  • Source, negotiate, and manage third-party contractors, suppliers, and service providers for maintenance, repairs, cleaning, renovations, waste disposal, security, and other facility needs.
  • Manage construction and improvement projects, including new builds, additions, renovations, expansions, and significant maintenance projects.
  • Partner with the Niles Ownership and leadership to establish project scope, budgets, timelines, and expectations and ensure successful project completion.
  • Monitor vendor and contractor performance, project costs, schedules, quality, and compliance.
  • Develop plans to improve facility efficiency, functionality, sustainability, and operating costs.
  • Forecast future facility, maintenance, and capital needs and provide recommendations to leadership.
  • Coordinate inspections, permits, safety requirements, and compliance with applicable building, fire, environmental, and regulatory requirements.
  • Communicate with local municipalities, including fire departments, public works, and building departments.
  • Identify opportunities for grants and incentives related to facility improvements, energy efficiency, and sustainability.
  • Ensure company facilities and physical assets consistently represent the organization's brand, culture, values, and standards.
  • Maintain appropriate property, lease, vendor, project, inspection, and maintenance documentation.
  • Coordinate and provide direction to shop personnel and others involved in facility-related work.
Required Qualifications
  • 3+ years of experience in facilities, building, property, construction, or related management.
  • Experience managing multiple locations, contractors, vendors, and service providers preferred.
  • Experience with lease administration, contract compliance, and construction or renovation projects preferred.
  • Strong negotiation, problem-solving, and conflict-resolution skills.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, and multitasking skills.
  • Ability to lead, delegate, prioritize, and manage multiple projects and competing priorities.
  • Ability to work independently, exercise sound judgment, and develop creative solutions to complex issues.
  • Ability to travel to company locations, including out-of-state properties, as needed.
Technical Skills
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Proficiency with email, Microsoft Teams, and other business communication tools.
  • Strong project, vendor, contractor, and contract management skills.
  • Ability to review and interpret leases, contracts, proposals, estimates, and project documentation.
  • Working knowledge of building systems, maintenance practices, construction processes, and applicable safety and regulatory requirements.
