Job summary

CBRE is seeking a Facilities Coordinator to support one on-site floor at 1 Market Plaza in San Francisco, CA. You will work closely with the Senior Facilities Manager, clients, and vendors to ensure operations run smoothly and safely while delivering excellent service.

This on-site role requires strong organization, communication, and the ability to manage work orders and routine maintenance tasks. You will be CBRE’s primary on-site representative, providing professional service and prompt issue

Qualifications

  • High School Diploma or GED with 2 years of related experience.
  • Knowledge of or experience in MEP hard services is beneficial.
  • Proven customer service experience and a professional, responsive approach.
  • Highly organized with strong attention to detail and ability to follow established routines.
  • Self-sufficient and able to work independently; resourceful when clarification is needed.
  • Clear and effective communication with internal and external partners.
  • Working knowledge of MS Office; CMMS experience preferred.
  • Applicants must be authorized to work in the United States without visa sponsorship now or in the future.

In this on-site role, you’ll support one floor for a client in the technologysector at 1 Market Plaza, encompassing approximately 8,000 square feet. You’llwork closely with the Senior Facilities Manager, clients, vendors, andcontractors to ensure facility operations run smoothly and efficiently. As thesole CBRE representative on site, you will play a critical role in fostering astrong client partnership, overseeing day-to-day facility operations, anddelivering exceptional service and support. As part of our Facilities Management team, you’ll supportdaily operations while helping create safe, functional, and welcomingenvironments - making a direct, positive impact on the client experience andthe success of the site.

What You’ll Do
  • Provide front desk coverage, including answering and directing incoming phone calls and serving as a first point of contact for employees, visitors and guests.
  • Greet and assist visitors, ensuring a professional and welcoming experience.
  • Regularly monitor the status of open work orders to ensure their timely completion and closure.
  • Work with landlords, tenants, and service providers to make sure they implement and recognize all procedures, policies, and reporting formats.
  • May perform light maintenance tasks, including patching and touch-up painting, replacing light bulbs and completing minor repairs to support day-to-day facility operations
  • Acknowledge and address all client inquiries related to the site, responding promptly to client inquiries and concerns.
  • Review work orders, proposals, department files, and other paperwork submitted by vendors.
  • Conduct site walkthroughs to identify and address site issues.
  • Follow instructions, short correspondence, and memos and ask clarifying questions.
  • Respond to common inquiries or complaints from clients, co-workers, and supervisors.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.
What You’ll Need
  • High School Diploma or GED with 2 years of job-related experience.
  • Knowledge of or experience in MEP hard services is beneficial.
  • Proven customer service experience and a professional, responsive, and solutions-oriented approach.
  • Highly organized with strong attention to detail and the ability to follow established work routines and standards.
  • 0Self-sufficient and able to work independently; resourceful and proactive in seeking clarification when needed.
  • Clear and effective communication skills for exchanging straightforward information with internal and external partners.
  • Ability to conduct routine facility walkthroughs to assess conditions, identify issues, and standards are maintained.
  • Working knowledge of Microsoft Office Suite, to include Word, Excel, Outlook and PowerPoint. Experience using a CMMS preferred.
  • Must possess strong attention to detail.
  • Ability to follow basic work routines and standards in the application of work.
  • Demonstrated customer service abilities are required.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
