This position is onsite at our St Louis Park, MN office.

We are seeking a reliable Facilities Coordinator to be the first point of contact for our clients. The role involves recording service requests, setting up work orders in Sage software, and coordinating with field technicians.

The ideal candidate will have excellent communication skills, prioritize customer service, and pay great attention to detail. The ability to multitask, work with urgency, and make independent decisions is essential. Responsibilities include scheduling, responding to emails, answering calls, and utilizing technology effectively. A teamwork attitude and excellent communication skills are required.

In this role, you will:

  • Receive and record service requests via email, phone, or in person, and set up information in Sage software, prioritizing as needed.
  • Assign work orders to appropriate field personnel.
  • Follow up with clients, ensuring timely communication and service completion.
  • Coordinate with field personnel and clients regarding job status and details.
  • Generate weekly work order reports and follow up on open orders.
  • Set up work orders in Sage.
  • Assist with billing as directed by the Client Services Manager.
  • Place product or delivery orders upon request.
  • Monitor GPS systems to provide vehicle locations and generate reports.
  • Support HVAC department tasks, including equipment reports, scheduling, and ordering filters.
  • Review and verify HVAC proposals for accuracy before sending to clients.
  • Perform various administrative duties, including contacting subcontractors, vendors, or clients, working with city permits, and managing COIs.

  • Experience as a dispatcher or in a customer service role.
  • Ability to work with urgency when necessary.
  • Tech-savvy with relevant software knowledge.
  • Accurate data entry skills.
  • Proficiency in English, both oral and written.
  • Active listening and excellent communication skills.
  • Sound judgment and critical thinking.
  • Ability to work independently and handle multiple schedules and priorities.

Pursuant to applicable laws, Colliers discloses the following:

Location: St. Louis Park, MN

Hourly Range: $26.00 - $31.25

Our pay ranges are based on role, level, and location, with individual pay determined by skills, experience, and education.
